Prospectus is delighted to be working with an exciting grant provider to recruit a new role of Team and Finance Administrator.

In 2024 the organisation awarded £12.3m in grants to 550 charities through five charitable Trusts. They are funded by the London headquartered parent company of the trust, two family trusts, and two personal Trusts. The organisation manages grant making across these charitable trusts.

Each trust is overseen by its own Board of Trustees.

This role is offered on a part-time, 3 to 4 days basis. Based in London (Victoria) with some hybrid working.

The role:

Sitting at the heart of a small team, the Team & Finance Administrator plays a vital role in supporting colleagues and charities by ensuring that the administration of grant making runs smoothly.
Core areas of work will include preparing papers for committee meetings, taking minutes, confirming grants awarded, checking bank details, processing invoices and payments, maintaining accurate data entry in the trust’s grant management system and running reports.

This person’s main focus will be on ensuring the administration of grant-making and financial systems are running smoothly, efficiently and accurately.

The person:

The successful candidate will have substantial team administration and finance processing experience, ideally within the charity or connected sectors, but this experience could equally have been gained from a corporate environment. Highly organised and collaborative with excellent attention to detail, this person will have a naturally helpful and friendly approach and understand the importance of consistently applied systems and processes.

A strong team player, this person will also be able to see the bigger picture and will understand how and why a solid administration foundation is absolutely essential to the smooth running of the trusts.

Experienced in providing broad administrative support, the successful candidate will be comfortable working in a small team and on their own initiative. Essentially, they will be reliable and well-organised, with an eye for detail and high levels of accuracy.

Proficiency in office systems and in financial administration (book-keeping) is essential. Experience of using a database or contact management system will be highly valued.

This role represents a great opportunity for the right person to provide strong and consistently high levels of administrative support to this well-resourced and experienced team with a clear focus on supporting a wide range of charities, large and small.
