Live-out full-time Butler / Personal Assistant sought on behalf of a private Client. The Client is a busy professional based in central London, UK, and the function of the role is to provide support during his busy daily life.

Reporting directly to the Client, the candidate must be able to unite the roles of a dedicated Personal Assistant and a professional household, staff, and property manager.

The household is small and calm, so work will be undertaken in a relaxed environment.

The vast majority of the role will be driving and waiting whilst the Client attends appointments, so other admin tasks can be completed during waiting time.

The successful candidate will receive complimentary use of the many facilities available at the Client’s property, such as a gym, spa, swimming pool, cinema, business unit, and a member's club, amongst many other entertainment facilities available.

Any international travel is fully expenses-paid and provides the opportunity to visit many beautiful locations across the world.

The property is located in the heart of Westminster, within 5-10 mins walk of multiple major tube stations/transport links.

This is a live-out position so applicants must live within reasonable commute to Client's address.
  • The role may allow for a hybrid model, where some admin tasks can be performed remotely, however around 90% of the role will be carried out on-site in order that the successful candidate can complete core tasks successfully.

Main Duties:

  • Driving is one of the major elements of this role. Candidates must therefore be experienced drivers with the ability to chauffer Client/family to meetings and appointments, as required.
  • Daily preparation of two light meals for the Client is required. If no experience here, full training can be provided, but this is an essential aspect of the role.
  • Travel across the UK/abroad may also be required.
  • Some minor household tasks/errands may be required from time-to-time.

Personal Assistant:

  • Managing the diary of the Client, including all family appointments. Ensuring all bookings are properly and proactively made.
  • Full responsibility for the travel arrangements of the family and household staff: visas where required, flights, accommodations, transfers, itineraries, guides, bookings and check-ins, etc.
  • Being the main point of contact for all ID, permit, and travel documents for the family, ensuring secure storage and control expiry dates.
  • Manage all required insurances and other recurring contracts, regularly controlling coverage and cost-efficiency.
  • Own a comprehensive and detailed list of all open agenda items surrounding personal matters and projects of the Client, ensuring timely completion.
  • Ad-hoc requests, errands, and dealing with urgent unforeseen tasks are an essential part of the role.

House/Staff Manager:

  • Oversee current personnel (1x housekeeper/Cleaner)
  • Proactively ensure all maintenance works are timely scheduled, performed and documented.
  • Coordinate repairs/renovation projects where necessary, liaising with contractors, ensuring highest standard of quality and optimising cost-efficiency.
  • Oversee the house readiness for arrival of the family from travels.
  • Keep all property-related expenses accounted for, under control, and within budget.
  • Sourcing future candidates, if needed, including recruitment, interviews, onboarding, training, providing timely constructive feedback and, where necessary, coordinate dismissal.
  • Serve as the central point of contact for the household staff on behalf of the Client.

Requirements

This is a live-out position so applicants must live within reasonable commute to Client's address.

Skills/Qualifications:

  • Enhanced DBS no older than-12 months required.
  • Full UK driving license required.
  • Experience working in a similar role within a HNWI household desirable, but full training can be provided (salary will reflect level of experience).
  • Knowledge and experience of property management, including construction and renovation projects is desirable.
  • Experience with managing staff, providing feedback, and fostering a friendly working environment is desirable.
  • Flexibility to adapt to changing priorities and assignments outside of standard hours, when necessary.
  • Strong project management and time-management skills.
  • Experience with MS Office packages (Outlook, Excel, PowerPoint, etc).
  • Problem-solving, proactive, and self-driven personality with a can-do attitude to take on responsibility and eager to find solutions.
  • Ability to work under pressure and tight deadlines.
  • Exceptional attention to detail.
  • Excellent communication skills.
  • Ability to build strong working relationships with providers, contractors, staff, etc.
  • Negotiation skills desirable.
  • Absolute discretion when handling sensitive, confidential information and private matters.
  • Occasional overseas travel could be required but is very limited.

Benefits

Generous remuneration and benefits package, with basic salary and annual bonuses.

Salary £27,000 - £35,000 per annum, depending on experience.
