Main duties of the job
This is a unique opportunity in that the role is new and so the post-holder would be encouraged to influence the shaping of administrative processes, so long as the core administration tasks are complete. Some processes are already established, and, in this case, training would be provided.Therefore, the role comes with a good balance of structure but also openness for new processes, or a re-fresh of current processes.
The role is primarily to support the Business Manager with administration tasks but also to work with and cross-cover (for annual leave and sickness purposes), when needed to other admin team members. This role sits amongst other admin team roles so there is plenty of opportunity for peer-to-peer support and cross cover would be reciprocal.As the role is new the post-holder will be fully support by the Business manager during the initial stages of induction.
Therefore, we are looking for an enthusiastic individual with good initiative to undertake and keep track of admin/project admin tasks such as: -
- keeping files up to date
- sending meeting invites
- taking notes to follow up post meetings
- submitting new supplier requests forms
- undertaking internal recharge forms
- communicating and dealing with supplier queries or queries from other internal admin or finance admin departments

Detailed job description and main responsibilities
The working pattern for this role is as follows:
Tuesday, Wednesday, Thursday for 5 hours per day*.- Once the induction and training period is complete, the Wednesday would be offered as a working from home day. All work from home days are subject to the needs of the service and therefore during periods where other team members are on leave it might be that you are asked to swap a working from home day to an in the office day. This rule applies to all members of the wider admin team.
Ideal hours would be 08:30am - 1:30pm, but 8am-1pm or 9am-2pm would be considered.
Due to the part-time nature of this role and the cross cover required, requests for working patterns for more than 1 day per week, working from home will not be accepted.

Qualifications, Knowledge & Experience
Essential criteria- Good standard of secondary education with literacy and numeracy skills demonstrable to GSCE pass level or equivalent standard
- NVQ Level 3 in Business Admin or equivalent level of experience
- RSA 2 word processing/typing or equivalent experience
- Proficient in all aspects of Microsoft Office
- Experience as a Receptionist or Admin Assistant linked to a clinical service or customer focused environment
- Administrative and organisational experience
- Courses / further study attended to demonstrate evidence of personal development
- Diploma level qualification or equivalent experience
- European Computer Driving Licence (ECDL)
- RSA 3
- Proficient in the use of all hospital computerised patient systems
- Knowledge of medical terminology
