Job overview

The Administration Team Leader is a key member of the Dietetic team and is responsible for the day to day running of the Administration teams to facilitate the smooth and efficient running of the service.

Supporting the Operational Coordinator to ensure that all systems and processes are in place to meet the local and national targets and the continual development of process improvement of the service and encouraging others to be innovative and adaptable in their approach to change.

The post holder will be expected to work professionally to a very high standard, work autonomously, making decisions & offering advice & support to their team & be able to work to deadlines to meet Trust targets.

Main duties of the job

Responsible for the operational management of the administration processes and functions of the team.

Responsible for effective communication across all boundaries using negotiation and persuasion skills to ensure the delivery of a comprehensive secretarial service.

Responsibility for managing highly confidential, extremely sensitive information on a regular basis. Discretion required at all times.

Co-ordinate all Business Unit, Corporate meetings and off-site meetings including sending out the agenda and taking the minutes.

Responsible for monitoring and maintaining records for sickness and absence and annual/study leave a cross the Administration Team

Act as a liaison between the management teams and functions across the Trust.

To provide a comprehensive administration and IT support, using a range of IT applications to monitor, prepare and validate databases as appropriate producing accurate operational reports as appropriate for the department.

Undertaking any additional related project work as directed, including obtaining information from the internet, collation and reporting of survey data in order to produce reports and spreadsheets and organising and attending promotional events in conjunction with the managers.

Person specification

Qualifications, Knowledge, Training and Experience

Essential criteria
  • A good standard of English to O'level/GCSE or equivalent and ability to demonstrate both written and verbal communication skills
  • Previous experience working in a busy/demanding administrative role
  • Experience of handling confidential/ highly sensitive information and a clear understanding of information governance and trust guidelines.
  • Advanced level of IT literacy with experience of using a range of IT applications, in particular Excel
  • Experience or understanding of working in a supervisory role
Desirable criteria
  • NVQ 3 in Business and administration or equivalent knowledge and skillst Access Policy and an agreement to adhered to these policies according to National Trust Guidelines as appropriate to the role.
