Receptionist/Administrator

Your new role:
The Administrator/Receptionist will act as the first point of contact for visitors and callers, delivering a professional and courteous service. In addition, the role will provide comprehensive administrative support across the business, contributing to the smooth operation of the office and ensuring efficient management of office systems and documentation.
About the role:
- Respond promptly to incoming calls, taking messages or directing calls to the appropriate person.
- Welcome visitors professionally and ensure they are directed to the correct department or individual.
- Prepare meeting rooms for scheduled meetings, ensuring all necessary equipment and documentation are in place.
- Maintain a tidy and organised reception area and ensure it reflects a professional environment.
- Ensure that all employees and visitors sign in and out of the office in compliance with health and safety protocols.
- Manage visitor car parking allocations and coordinate meeting room bookings.
- Administering and updating access fobs, ensuring the access list is accurate and up to dat
- Manage incoming mail, ensuring it is appropriately distributed or scanned into relevant systems.
- Oversee the preparation and dispatch of outgoing mail.
- Ensure the efficient management of office supplies, including stationery and other essential resources.
- Provide administrative support through the preparation of documents, reports, and presentations using Microsoft Office application
- About you:
- Excellent communication and interpersonal skills, both verbal and written.
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint) and other office software.
- Exceptional organisational skills with the ability to prioritise tasks and manage competing demands.
- Professional appearance and demeanour with a strong commitment to service excellence.
- Strong attention to detail, ensuring accuracy in all administrative tasks.
- Ability to work independently and as part of a team in a fast-paced environment.
