Air Balloon Hill Primary School is looking to recruit an Administration Assistant to join our busy school office.

15 hours per week, Term-time Only. Hours are 9am – 12noon Monday to Friday. Postholder is also required to attend training on two of the school's inset days.

Start Date: 6th January 2025

Air Balloon Hill Primary School is looking to appoint a well-organised, reliable and competent person as an administration assistant to support our school’s administration team.
Our ideal candidate will have previous experience of working in an administrative role, be enthusiastic, friendly and have strong communication skills.

We require someone who can confidently use Microsoft Office including Word and Excel and, ideally has previous experience of using mail-merge functionality within Microsoft Office as well as the capacity to learn how to use our pupil and staff database (Arbor).

Spoken and written language should be exemplary as well as the understanding for the need for confidentiality and careful management of personal data. This role will rely on strong administrative skills and experience to fully support administration at Air Balloon Hill Primary.

The post holder will work closely with the other members of the administration team, the School Business Manager and, members of the Senior Leadership Team. The role will involve regular communication with our parents and other stakeholders in a variety of ways including email, telephone, texts and letters, as well as callers in person to the school.

Duties will include:-
  • Providing a professional, friendly and efficient first point of contact for parents, pupils, staff, visitors and contractors; dealing with and responding to enquiries received
  • Taking responsibility for the administration of school lunches on a daily basis, working alongside the Stratos Galley staff to ensure accuracy of numbers and allergen information.
  • Use of School Management Information System (Arbor) as required
  • Working with the Kitchen Manager to design and collate the school lunch menu and allergen information
  • Being responsible for responding to written, telephone and ‘face-to-face’ enquiries in a professional and timely manner – including for outstanding account balances and allergen information.
  • Preparing and circulating communication to parents and carers – examples may include letters from the Headteacher and reminders of events and activities
