We’re thrilled to offer an exciting opportunity for a part-time Executive Assistant to join our team. In this role, you will ensure the CEO is provided with a dedicated resource, that enables the necessary support and assistance is available at all times and that the necessary provision to support the Board of Directors is managed in a highly professional and confidential manner.
Work Location
Moreton-in-March Head Office, with occasional travel to London when required for meetings with the CEO. This part-time position requires working 21 hours per week, distributed across Monday to Friday, with an in-office presence required.
Key Responsibilities
  • Manage the CEO’s diary in a proactive manner to ensure the CEO is always in the right place and at the right time, with the necessary travel arrangements made, confirmed and provided in advance, also ensuring that the CEO has all the necessary briefing papers needed for each meeting
  • Ensure the scheduling of meetings/conference calls with all parties concerned are effective and efficient and in line with the CEO’s diary management
  • Ensure the CEO has clear visibility of the movements of the SLT and that these are maintained and managed so the SLT can work together in a coherent manner
  • Co-ordinate all of the necessary board papers from each of the SLT and ensure the CEO has these in advance of any Board meeting.
  • Plan, attend, record minutes for Board, Senior Leadership Team, and other ad-hoc meetings as and when required.
  • Accurate and efficient travel itinerary provision for the Board of Directors.
  • Manage the CEO’s expenses, ensuring that these are completed and put into the system in a timely manner
  • Provide ad-hoc administration support all members of the SLT, particularly in relation to any confidential strategic projects
  • Ensure that complete confidentiality is maintained at all times for all areas of the CEO’s office
  • Provide the CEO with administrative support on strategic projects

Desirable:

  • Ability to adapt to changing priorities and manage multiple tasks simultaneously in a fast-paced environment.
  • Strong problem-solving skills with the ability to think critically and make sound decisions.

Skills and Experience Required

Essential:

  • At least 5 years’ experience as an Executive Assistant.
  • Proficiency in Microsoft Office Suite (Word, Excel, Power Point, Outlook) and basic IT troubleshooting skills.
  • Effective planning and organisational experience with a proven ability to work on own initiative and manage own workload.
  • Demonstrated ability to maintain complete trust, loyalty, confidentiality and discretion.
  • Comprehensive experience in minute taking and preparing accurate meeting records
  • Experience organising and planning travel itineraries.

Desirable:

  • Educated to degree level.
  • Experience with Synergist or related project management system.
  • Previous experience working directly with C-level, understanding the demands and expectations at that level.
Salary - £30,000.00 pro rata (21 hours per week)
Job Type: Part-time
Pay: £18,000.00 per year
Expected hours: 21 per week
