Job overview

This is an exciting time to join the new Legal Services Department within Betsi Cadwaladr University Health Board.

As a new and developing service, we aim to ensure clinicians and leaders have timely access to high quality legal advice to deliver the best care to the patients of North Wales. We also deliver a range of in-house legal functions including litigation (including claims) management, redress management, inquest management, healthcare legal case management (such as the Court of Protection) and Mental Health Act Administration.

Main duties of the job

This role has two important aspects -

As Legal Secretary, the post will support the Deputy Director for Legal Services and the Senior Managers for Legal Services with the overall management of the department. This will include high level legal and confidential secretarial and administrative support, along with professional legal secretarial support.

Additionally, as a Senior Administrator for Legal Services the post will provide support to Lawyers within the department. This will include working under the close supervision of a Lawyer on a variety of tasks such as reviewing documents including medical records, identifying and instructing medical and non-medical experts, assisting with drafting formal documents, organising and facilitating legal related meetings, undertaking legal research, and entering relevant information on to the case management system.

The Legal Services Department work in an agile way and we are open to consideration of a base at either Bryn y Neuadd Hospital or Wrexham Maelor Hospital, although there is a strong preference for Bryn y Neuadd Hospital as that this is where the Deputy is based.

There will be occasional travel to Health Board sites across North Wales, and at least a weekly presence at Bryn y Neuadd Hospital.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

Qualifications and knowledge

Essential criteria
  • General education at GCSE level or equivalent experience
  • A-Level or NVQ Level 3 qualification or equivalent experience
  • Specialist knowledge on a diverse range of topics in relation to legal queries
  • Knowledge and understanding of administrative procedures
  • Knowledge of word processing, spreadsheet and presentation packages
  • Knowledge of confidentiality legislation, processes and guidance
Desirable criteria
  • Educated to Degree level or able to demonstrate equivalent level of work experience and knowledge.
  • Legal secretary qualification or experience of working in a legal environment within the NHS or similar
  • Knowledge of Datix
  • Knowledge of NHS legal process
  • Knowledge of the Welsh Risk Pool and Civil Procedure Rules
  • Knowledge of medical terminology
  • Knowledge of coronial law/civil and healthcare claims

Experience

Essential criteria
  • Experience of working in an NHS or legal environment
  • Experience of planning and prioritising work activities
  • Experience of handling confidential/contentious information
Desirable criteria
  • Experience of influencing and persuading at management level e.g. recommendations from claims/complaints/incidents
  • Experience of interpreting complex documents, e.g. legislative guidance received from external agencies and drafting internal documentation to disseminate information
  • Experience in developing and delivering training
  • Experience of investigation techniques
