Working flexibly, the post holder will ensure that they provide a patient focused service in person and on the telephone for all receptionist and administrative areas within The Clifden Centre, The Ivy, John Scott Healthcare Centre and Leadenhall.

The Post holder should maintain a welcoming and pleasant environment for patients. They will ensure that all patient data is entered in a timely and accurate manner. This will include close liaison with the multidisciplinary team of Medical staff.

We are seeking a welcoming and organised Patient Care Coordinator to act as the first point of contact for our sexual health service users. This role involves delivering exceptional patient service, managing reception and clinical administration duties, and supporting patients throughout their visit.

Key responsibilities include patient check-ins, appointment scheduling, and maintaining accurate records. Training will be provided to ensure you deliver a high standard of care and administrative support within our patient care coordination team.

  • To remain polite, courteous and professional when dealing with aggressive, upset and hostile patients.
  • To advise patients of current and approximate waiting times in liaison with nursing and medical team and ensure patients are made aware of any relevant information.
  • When on reception, update pt. DNA’s and attend patients on Preview, Inform and EPR.
  • To inform the general public on how to access care and refer other queries to relevant members of staff / departments.
  • To enter all new patients’ full details accurately onto appropriate systems.
  • To be responsible for maintaining accurate patients’ demographic detail and report any duplicate patient registrations to the HSHS Reception Administrator.
  • Communicate effectively with the Nurse Coordinator to manage the number of patients attending during busy periods.
  • To access the ‘stat’/security team as and when necessary, as required by the Trust guidelines.
  • Provide patients with information relevant to their appointment e.g. preparations before attending for IUD or laser appointments.
  • Be alert to the needs of vulnerable young people and adults, and fast-track patients for urgent assessment, e.g. those with learning difficulties, mental health problems, sex workers.
  • To note any change in circumstances e.g. GP contact details and addresses are entered onto Preview, Inform or EPR. Check with the patient at every visit that all the above information is accurate.
