Overview:

Are you an experienced administrator or secretary? We have the opportunity for two secretaries to join our secretarial and PA support team.

Working alongside experienced secretaries and PAs within a legal fee earning department (either Construction or Real Estate) you'll ensure that enquiries are dealt with efficiently. Your role as a secretary is crucial to the department's productivity as you will offer vital administrative support, coordination and diary management.

No two days will be the same and so you'll benefit from having a proactive approach to work with excellent prioritisation and organisation skills.

Both roles are similar in nature; however, the team and type of work they do differ.
  • Construction and Engineering team consists of 38 fee earners, 5 of which are Partners. Their support team includes 2 PA's and 2 Secretaries who work together to provide a full PA/Secretarial service to a fast-paced and busy team.   • The Real Estate team includes 35 fee earners, 9 of whom are Partners. The support team comprises 2 PAs and 3 Secretaries, working collaboratively to deliver comprehensive PA and Secretarial services to a dynamic and fast-paced group. What you will be doing as a Secretary:

  • Diary Management – you will coordinate schedules, meetings and appointments.
  • Arrange meetings – book meeting rooms and refreshments, and ensure the relevant parties are notified in a timely manner.
  • Travel Arrangements – planning and booking travel arrangements, ensuring the traveller has the relevant information for their trip.
  • File management – regular filing of hard and soft copy client-related correspondence in line with our company procedures.
  • On-board clients – prepare client letters and ensure the relevant documentation is completed.
  • Enquiry management – handle telephone and email enquiries
  • Word processing – audio and copy typing, drafting correspondence and documents and preparing mail for posting.

We are looking for:

  • Experience of working within a similar position is preferred but not essential. Legal secretarial experience would be an advantage.
  • PC literate with knowledge of Microsoft Outlook, Word, Excel and PowerPoint.
  • Excellent interpersonal skills with the ability to professionally support senior stakeholders.
  • Ability to organise, plan, prioritise and meet deadlines.
  • Ability to work confidentially and on highly confidential matters; respecting and maintaining the confidentiality of all information relating to Walker Morris and client matters.
  • Shows initiative and provides new ideas to improve team efficiency.
