Corporate Manager and Executive Assistant to the Chief Executive (Maternity)
The British Private Equity & Venture Capital Association (BVCA) is the voice of private capital in the UK.
We are the industry body and public policy advocate for the private equity and venture capital industry in the UK. We have been acting on behalf of this community for over 40 years, enabling it to uphold its vision and achieve its goals, as it has moved from a niche part of the investment community to being a mainstream part of the wider economy.We actively represent this diverse community of long-term investors enabling them to speak with one clear and consistent voice to wider society, including the Government, media and MPs.
The BVCA engages with and supports the private capital community, connecting institutional investors, fund managers, portfolio companies, advisers and service providers. Our membership comprises more than 600 firms, including over 250 private equity and venture capital businesses, over 100 institutional investors and more than 200 professional services firms.Our role is to be the unrivalled forum where the industry gathers to network, learn and address a wide range of issues; of equal importance, we represent the industry to key stakeholders in government, Parliament, the media and elsewhere through the advocacy delivered by our policy and external affairs departments.
The office is located in central London.
The Role
This 13 month fixed term contract within the BVCA is a key role for someone who has at least 5 years’ experience as an Executive Assistant to a member of a senior Management Team. Their primary responsibility will be to provide full and comprehensive organisational, administrative and secretarial support to the Chief Executive of the BVCA and to work with the rest of the Senior Management Team in support of that role.
Responsibilities
To ensure the effective management of the Chief Executive’s day to day activities, including travel logistics, through management of their diary and supporting arrangements
To support the most effective use of the Chief Executive’s time, ensuring he has everything he needs at the right time, in the right place and working with various team to ensure that happens.
Forward planning the CE’s diary from the next few hours to the next 12 months and anticipating and solving any conflicts. Ensuring regular meetings are scheduled (SMT, 121s, PDRs etc.), and reacting to late changes.
To organise and attend meetings of the SMT, including sending out agendas, writing notes, distributing minutes to strict deadlines and ensuring action points are follow up on.
Ad hoc projects which involve liaising with senior industry figures and external public stakeholders.
To work with the SMT and others in the organisation to action take initiative in overseeing the Chief Executive’s workload and actioning tasks if and where appropriate especially in the Director’s absence.
To supervise the administration team of the BVCA by working with the appropriate teams to establish resource requirements across the organisation
To assist the Chair and Vice Chair of Council in relation to the organisation of their BVCA duties
Provide support to the Company Secretary/Governance team to produce, distribute and file relevant documents

Technical
Advanced Microsoft Office experience including MS Teams/ SharePoint/ O365
Highly competent in PowerPoint, Word and Excel and a high degree of computer literacy and an ability to become familiar with firm-specific programme and software
Experienced minute taker and ability to write formal meeting minutes
Ability to keep good records – paperwork, filing, keeping diaries and dealing with incoming mail to make sure everything goes to the right place.
Efficient diary management to ensure best use of time
Research – collecting information, making background checks on individuals and companies, and producing briefing papers.
