Job Description- Provide administrative support to the EA to the CEO and to cover absence and holidays
- Provide a PA service to Executive producers which may include travel arrangements, itineraries, and management of expenses if required.
- Undertake the travel arrangements for overseas travellers to the UK, which includes flights, airport pick-ups and hotel accommodation.
- Undertake administrative tasks required by the production team as required.
- Respond to calls and emails as the first point of contact and the first impression of the company
- Keep the office and common areas clean and tidy, ensuring sufficient food, drink stock and office stationery is available for the teams.
- Undertake the preparation of Board and other papers, presentations, packs and binding required for meetings
- Prepare for meetings, ensuring rooms are tidy, with water, glasses and crockery
- Welcome visitors, ensuring they have anything needed and are updated if meetings are running behind schedule
- Send and receive mail, parcels and other items as required
- Liaise with IT regarding starters and leavers and regularly update contact lists and other details
- Manage meeting room diaries and bookings
- Collate feedback regarding the office condition and report defects and repair requirements to Building Manager promptly
- Organise routine repairs and maintenance with regular suppliers
The Successful Applicant
A successful Office Coordinator should have:
- Must have supported an EA prior
- Proven experience as office coordinator or in a similar role.
- Experience with office management procedures and basic accounting principles.
- Excellent knowledge of MS Office and office management software.
- Qualifications in Secretarial Studies will be an advantage.
- A competitive salary ranging from £30,000 to £32,000 per annum, plus B+P.
