Secretarial Lead

The post holder will deliver all aspects of work to service standards for SystmOne tasks, medical reports and medico-legal requests, safeguarding referrals and administration of all activities related to the work of the referrals administration/ secretarys team.
In addition, the post holder will be the first line manager for team performance, team work rosters and absence management with support from the Practice Management Team and will form part of the Administrator Senior Team for monthly updates and reviews on all matters related to practice service delivery.
The post-holder will work closely, and under the direction of, their Line Manager to improve standards across a wide range of referrals administrative activity. Key Responsibilities of this role include: Achieving service levels for all activity under the remit of the Secretarial Team.
Management of all day to day processes and systems for the team to ensure adequate cover for all aspects of work within the team Maintaining an effective team through supervision, training and line management To work within the secretarial team and contribute to the workload as required when management responsibilities are not required.
Networking with the broader Senior Clerk Teams and linking procedures and processes to the broader Practice for improved efficiencies Other duties expected of the role Managing data quality issues and service level activities for the team, providing individual and team support and guidance to the team as necessary.
The post-holder will be highly knowledgeable with all functions of the clinical system and their applications plus national and local quality standards for primary care. A good understanding of Quality Outcomes, CQC requirements from the team they lead and other systems related to referrals administration are required for this role.
The post-holder will be aware of the various statutory requirements and will assist in implementation as directed by Practice Management. Providing support, advice and training for current and new staff in the use of the Clinical System and non-clinical processes to ensure that all aspects of work meet required service standards.
Working to ensure all staff receive adequate annual appraisals and reviews. Working, as necessary, to validate patient information, performing regular checks and quality audits. Assisting in the recruitment and selection of Team members as required.
The post-holder, once competency has been signed-off by the Manager, will be given training to carry out performance reviews, appraisals and inductions for appropriate members of staff and act accordingly in encouraging further professional development and provide necessary training opportunities.
