Overall objective:
An exciting opportunity has arisen for a part-time accounts assistant to join one of the leading independent estate agents and chartered surveyors operating within the West Yorkshire region.

You will assist in the financial accounts management of the residential property management department. You will be responsible for assisting in the efficient running of all residential management accounts, including, but not limited to consulting with clients, internal and external stakeholders, contractors and tenants regarding tenancy payments, supplier invoicing, accounts queries, producing statements and chasing arrears.

Package: £13.50 per hour

Hours: 9:30am – 3:00pm, 3 days a week (to be agreed)
Location: Working from our WS Residential offices located at 110 Commercial Street, Brighouse, West Yorkshire, HD6 1AQ.

Key Responsibilities and Duties:

  • Ensure you adhere to processes and procedures in line with data protection and Anti-money laundering requirements.
  • Processing all Contractor invoices in a timely manner
  • Maintaining and updating specialist CRM databases to include maintaining a supplier contractor list, managing works orders and payments within set timescales and undertaking a dual authorisation process with property managers.
  • Maintaining copies of supplier PL insurance cover & updating as/when required, also obtaining relevant certificates and industry kitemarks
  • Setting up tenancy charges following tenancy commencements, processing tenant deposits & registering with an approved Government scheme.
  • Updating tenancy charges at rent reviews & serving relevant legal notices where required as instructed by property managers
  • Finalising tenancies, handling deposit deductions and rental accounts
  • Taking card payments in person or over the telephone for rental receipts or supplier payments. Reporting these and processing following internal procedures.
  • Receipting and banking cash payments following company protocol in a timely manner
  • Assisting in Rent Guarantee claims processes reporting key legal documents and creating schedules for legal processionary claims
  • Assisting in cover for the Rental Accounts Manager during holiday periods undertaking tasks to include but not limited to; processing incoming payments daily, actioning landlord payments where required and producing client statements, carrying out bank reconciliations, and assisting with general accounts queries to the wider department
  • Assisting in undertaking annual HMRC Section 23 reporting when required
  • Assisting in credit control and arrears chases for supplier payments, and tenant rental accounts where required
  • Assisting in raising invoices to clients and chasing nonpayment where required
  • Providing updates as and when required to direct line management and Directors
  • Assist the residential management team as and when required in any accounts related queries.
  • Assist in the integration of property management portfolios to bring inline with our inhouse management and accounting practices.

  • Have a flexible approach to day-to-day tasks.
  • Strong understanding of Excel and other Microsoft Office applications.
  • Desirable to have experience in accounts management CRM systems but not essential. Full training will be provided.
  • Gain knowledge of any accounting software required as part of any future acquisitions.
