Your New Role

We have a fantastic opportunity for a permanent Finance Administrator to join our Ministry of Justice (MoJ) account in Bristol – Avon and Somerset Courts, this role is based on-site.

Finance Administrator plays a crucial role in managing facilities services across secure premises within Avon and Somerset. You will be ensuring that all planned and reactive maintenance tasks are completed safely, compliantly, and on time. You will provide essential administrative and operational support to the Site Manager and team leaders, enabling seamless service delivery to our clients.

The standard hours of work are 39 hours per week, Monday to Friday.

You will be responsible for:

Procurement and Financial Administration: Raise purchase orders, process invoices, and assist in financial reporting such as month end.
Administrative Support: Maintain accurate records, manage databases, and provide comprehensive support to ensure smooth daily operations.
Compliance and Reporting: Ensure health, safety, and legal standards are met, assist with audits, and generate compliance reports.
CAFM System Management: Use CAFM systems to schedule maintenance tasks, track service delivery, and monitor compliance.
Operational Tasks: Assign jobs, update the Maintenance Tracker, perform scanning, complete inductions, take minutes, update notice boards, arrange call-outs, handle calls, and manage orders.
Team Coordination: Facilitate onboarding, share key information, and coordinate with team members to meet client needs.
Client Interaction: Serve as a point of contact for client queries, ensuring prompt and professional responses.

We want to hear from you if you have:

Previous experience in administration or business support roles is highly desirable. Knowledge of SAP and Concept systems is a plus.
Proficient skills in Microsoft Office, IT, and CAFM systems.
Excellent time-management, communication, and relationship-building abilities.

Attention to detail, accountability, adaptability and a proactive approach.

Ideally you will be qualified in Business Administration or a related field to help you hit the ground running, although this is not essential as we will provide you with the required development you need to bring you up to speed.

Appropriate Security Clearance will be required (Amey will support you through this process).
