This is a dual role combining the responsibilities of Personal Assistant to the Head Teacher and Front Desk Administrator. The successful candidate will provide high-level administrative and organisational support to the Head while also managing the front desk and acting as the first point of contact for all visitors, parents, and staff.

The role also includes first aid co-ordination and administrative support across the school.

KEY RESPONSIBILITIES:

Head’s PA Duties
  • Provide full administrative support to the Head Teacher, including drafting correspondence, preparing documents, and handling confidential matters.
  • Manage the Head’s calendar, schedule appointments, and arrange meetings with internal and external stakeholders.
  • Prepare materials and agendas for meetings; attend when needed to take minutes and follow up on action points.
Front Desk Administration
  • Greet and assist visitors, maintaining a professional and welcoming front-of-house presence.
  • Handle telephone and email enquiries and manage general communications professionally and efficiently.
  • Manage parental queries, pupil absences, and ensure the Head is informed of relevant matters.
First Aid & Pastoral Administration
  • Act as the First Aid Co-ordinator for the school, managing boys’ medical needs while onsite.
  • Maintain accurate records of incidents and communicate with parents as needed.
  • Ensure that first aid supplies and protocols are up to date and aligned with school policy.

THE IDEAL CANDIDATE WILL HAVE:

Qualifications and Training
  • Relevant administrative qualifications or equivalent experience.
  • First Aid trained or willingness to complete a comprehensive 3-day First Aid course.
  • Experience in a similar PA or school administrative role is desirable.
Skills and Experience
  • Proven experience in administrative and front-of-house roles, ideally within an educational setting.
  • Strong diary management and organisational skills.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office, Excel and general IT systems.
  • Experience with school management systems (e.g. iSAMS) is an advantage.
  • Ability to multitask, work under pressure, and handle confidential information discreetly.

  • Warm, professional and welcoming demeanour.
  • Strong interpersonal skills and ability to work with a range of stakeholders.
  • Proactive and solution-focused with strong attention to detail.
  • Calm under pressure and flexible in responding to the day-to-day needs of a busy school office.
