2 x Health Records Clerical Officer - Band 2 - Fixed Term Contracts
  1. 5 hours per week working Monday - Friday 8 am - 5pm (job share may be considered)

We have a number of 12 month fixed term contracts for Clerical Officers to join our Loose Filing Team. The successful applicants will support with the preparation of files for scanning, and quality audit of the files once scanned. The successful applicants will work 37.5 hours each week to provide cover between the hours of 08:00 to 17:00, Monday to Friday.

Job share will be considered.

Main duties of the job

Duties include:

  • Accurate preparation of patient documentation ready for scanning.
  • Scanning patient information into our EDMS
  • Recording an accurate count of files and documents prepared for processing.
  • A good working knowledge of Microsoft Office packages including Outlook.
  • Identifying and processing of physical content ready for filing.
  • Participating in department quality control processes
  • Participating in department audits
  • The department operates 24hrs a day, 365 days a year.

Walsall Healthcare NHS Trust is an integrated Trust and the only provider of NHS acute care in Walsall, serving a population of 284,300. It provides inpatient and outpatient services at the Manor Hospital as well as a wide range of services in the community.
Walsall Manor houses the full range of district general hospital services under one roof. The £170 million development was completed in 2010, and ongoing upgrades ensure the Trust now has state-of-the-art facilities, including a Critical Care Unit, Neonatal Unit, Obstetric Theatre, and Integrated Assessment Unit.

A new Urgent and Emergency Care Centre, opened in March 2023, has significantly improved emergency care facilities and capacity, providing almost 5,000 square metres of additional clinical space.

Detailed job description and main responsibilities

The successful candidate will be able to work in a calm, organised way with the ability to multi-task. The post entails preparing patient documentation for scanning into our EDMS, completing quality checks accurately, and participating in departmental audits.

You must be confident, friendly and able to work in a very busy environment against tight deadlines.

Previous knowledge and experience of working in a similar environment would be advantageous. It is essential that your application demonstrates your ability to meet the Job Description and Person Specification, and in particular your experience of working as part of a busy team, knowledge of confidentiality, good communication and customer service skills.

The post requires the use of kick stools and step ladders to retrieve files.

  • - Good standard level of education (2 GSCE’s or equivalent – preferably English and Maths).
  • NVQ level 2 in Customer Service (or equivalent).

Knowledge and Skills

  • Excellent keyboard, IT and administrative skills.
Desirable criteria
  • - Numeracy skills and attention to detail.
  • Good customer care and verbal communication skills.
