Band 3 Upper GI Surgical Secretary
An exciting opportunity has arisen for an experienced medical secretary to join our team as a medical secretary within the Upper GI surgery department. You will work alongside the existing administrative team to provide comprehensive and efficient secretarial support.
We are looking for enthusiastic and motivated individuals who can manage the fluctuating demands of a busy Consultant Surgeon. You will need to be flexible and have excellent organisational and communication skills. The ability to work under pressure and effectively prioritise your own workload is essential.You must have the ability to multi-task and work in a busy, ever changing environment.
You will be able to work on your own initiative as well as within a team with well developed communication and interpersonal skills

Main duties of the job
As a surgical secretary, you will provide a comprehensive secretarial service to our consultant surgeons. This includes, but is not limited to, diary management, correspondence, referrals, phone calls, email management and general day-to-day office administration.The ideal candidate needs to have a high level of attention to detail and be able to work well under time constraints to ensure that local and national targets are met with regards to patient pathways.
You will be the first point of contact for patients, our multi-professional colleagues and outside sources with queries and you will need to exercise initiative and judgment when dealing with these enquiries to ensure they are dealt with efficiently and appropriately.These contacts are made in a variety of ways therefore excellent communication skills on all levels are essential.
You will also be responsible for managing and overseeing the elective surgery waiting list as well as planning and co-ordinating surgical admissions for our patients.
As part of the secretarial service, you will be required to touch type from audio dictation a variety of documents. The role requires a certain level of understanding of medical terminology.
As a secretary you will be dealing with a lot of confidential and sensitive information and our ideal candidate will understand the importance of maintaining confidentiality when dealing with personal information.

Experience
Essential criteria- Previous experience of dealing with members of the public
- Experience of using own initiative, prioritising workload and utilising organisational skills
- Previous experience working in a busy office
- Previous medical secretary/hospital/NHS service experience
- Experience of data entry, maintaining databases and data validation of electronic records
- Working experience of TRAK/EPR/PACS/Infoflex
Knowledge
Essential criteria- Good command and understanding of English, punctuation and grammar
- Excellent verbal and written communication skills
- Excellent and accurate attention to detail
- Good computer skills with working knowledge of Microsoft Office including Word, Excel, Outlook/Diary management
- Knowledge of NHS systems
Qualifications
Essential criteria- GCSE English and Maths at Grade C or above
- Typewriting / word processing RSA Level 3 or equivalent practical experience
- NVQ in Administration level 3 computer literate in Microsoft Office packages
