Job overview

To contribute to the delivery of an efficient and effective administrative service for the Staff Network Groups (Race Equality and Inclusion Network; STH Ability; Women’s and LGBTQ+).

Main duties of the job

Undertake administration functions for the networks, such as data input, photocopying, filing, letter writing, etc.

Undertake accurate recording / inputting and amending of data within Trust information systems.

Communicate effectively with the use of tact and diplomacy and seek to overcome barriers to effective communication. This may require the use of multiple communication methods, such as email, telephone, reception duties, etc.

Work collaboratively with the wider departmental team to ensure a consistent and effective Patient First service.

Actively use initiative within the role but seek guidance when required and appropriate.

Assist and support in the development and improvement of the service and in the implementation of Trust and network based policies and procedures.

Complete all mandatory training required by the Trust and actively participate in personal development.

Assist and support the development and training of new team and network members.

Undertake effective prioritisation of own workload and the coordination of activities / duties related to the role.

Adhere to all Trust and Departmental Policies and Procedures.

Education and Qualification

Essential criteria
  • GCSE at Grade C/ Level 4 in English and Maths (or equivalent experience / qualifications)
Desirable criteria
  • NVQ Level II in Business Administration / Customer Service / IT or demonstrable experience

Experience (Previous/current work or any other relevant experience)

Essential criteria
  • Experience of working within an office environment
  • Experience of working in a public facing role
Desirable criteria
  • Relevant experience within the NHS

Further Training (Specialist/Management previous job training)

Essential criteria
  • Working knowledge of Microsoft Office packages including Outlook, Teams, Excel and Word

Skills and Knowledge

Essential criteria
  • Understanding of data protection issues and the ability to maintain confidentiality
  • Excellent communication skills, with ability to deal with staff at all levels
  • Displays use of initiative with effective organisational skill
  • Ability to prioritise and work to strict/conflicting deadlines
  • Experience of taking minutes in formal meetings
  • On-going commitment to personal development
