Job overview
We are looking to appoint a self-motivated, enthusiastic person to join the Central Child and Adolescent Mental Health Service Team as an Administration Assistant. The successful candidate will be expected to provide administration support to a team of clinical and operational staff, respond to working under pressure within a busy a working environment.
It is essential that the postholder will have a flexible approach to work to support team members and to meet service demands. Whilst previous hospital experience is not essential, the successful applicant will be able to demonstrate an ability to provide excellent customer service, and will have IT skills.The ability to communicate effectively and handling sensitive situations is essential, as is the ability to work to tight deadlines ensuring effective service delivery. A working knowledge of WPAS is desirable but not essential as training will be provided.

Main duties of the job
A good telephone manner and communication skills are essential. A knowledge of the hospital’s Patient Administration System, is desirable, although training will be given. The ability to speak Welsh would be beneficial but is not essential. The post-holder will hold RSA Level 2 or equivalent.
The post holder will be required to demonstrate a professional and sensitive manner at all times.
Administrative Assistant post requires to maintain strict confidentiality and will be expected to deal with patients, relatives and visitors with courtesy and discretion at all times.
The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

Detailed job description and main responsibilities
To provide an accurate and prompt administrative function to facilitate the delivery of an efficient and effective appointment booking service. To provide comprehensive reception, clerical and typing support for the Child and Adolescent Mental Health Service, demonstrating a courteous, professional and sensitive manner at all times.The post-holder will have the ability to demonstrate a flexible approach to work and be able to prioritise tasks within the scope of own responsibility.
To be part of a cohesive and integrated admin function of the service. By the nature of the duties, the post-holder will be required to maintain strict confidentiality and will be expected to deal with patients, carers, relatives, medical staff and other service users, using the telephone and in writing, with courtesy and discretion at all times.

Qualifications and/or Knowledge
Essential criteria- Good general education
- Level 2 IT/Word/Text Processing Qualification or demonstrable skills/experience
- NVQ Level 2 Business Admin
Experience
Essential criteria- Previous experience in a clerical, administration/ reception role.
- Experience of working within the NHS (hospital environment)
Aptitude and Abilities
Essential criteria- To function efficiently under pressure and to meet deadlines.
- Ability to prioritise workload.
- Ability to speak Welsh
