Do you enjoy working in an exciting and challenging environment? We are looking for 2 experienced Medical Secretaries to join us at the Royal Surrey Hospital NHS Foundation Trust. Based within the Royal Surrey Cancer Centre on a permanent basis Monday to Friday
We are looking for individuals’ who will provide comprehensive secretarial and administrative support to allocated Oncology teams. As an experienced Secretary, you will be required to possess excellent communication and organisational skills combined with good IT skills and ideally a working knowledge and experience of working within a patient care or customer care focused role.NHS experience is desired but not essential.
Main duties of the job
The successful applicants will be able to demonstrate that they can work upon their own initiative whilst working well within a team. The role will include a wide range of medical secretarial and administrative duties encompassing but not limited to the review and editing of patient letters and clinical correspondence utilising dedicated transcription software (Dictate IT), ensuring said correspondence meets national turnaround targets and KPIs’.There will be a need for undertaking learning and understanding the provision of the clinical service and working alongside and in conjunction with both the clinical and administrative teams. In addition to the secretarial aspects of the role training will be provided to ensure an understanding of the clinical rota and the occasional booking of appointments specific to the clinical team is gained.
Being the first point of contact for patient queries amongst other general administrative duties will be an essential part of the role thus requires an empathetic nature and a proactive and can do attitude.
The department encourages personal development and you will be required to take an active part in the units PDP and Mandatory Training processes.

Detailed job description and main responsibilities
To provide a full range of medical secretarial & personal assistant services to Oncology consultants and their clinical teams.
Manage own workload, demonstrate efficient and effective organization. assist the Team Leader in overseeing the smooth effective operation of the Medical Secretarial office.
To work autonomously and within a team; providing full organisational support to the consultant’s practice and their team.
To ensure procedures and working practices are in place so that the Specialty and Trust can deliver a service that meets the standards and that KPI targets that are in place.
To provide a considerate and focused service in all dealings with patients and their families and with staff around the hospital and throughout the system.
Person specification
Qualifications
Essential criteria- Good general standard of education to GSCE level or equivalent including English
- RSA II or equivalent in word processing / audio typing
- RSA III, Medical secretarial qualification (BSMS Certificate) or equivalent
Know;edge and Skills
Essential criteria- Broad knowledge of medical terminology,.
- Knowledge of basic anatomy and physiology
- Demonstrate ability to prioritise workload and to adapt effectively to changing priorities.
- Knowledge of NHS priorities and understanding of the guidelines and targets in own area of work.
- Working knowledge of a range of software packages, eg MS Word, Excel and PowerPoint and other locally used databases eg. Pathology Laboratory Information System (WinPath) or similar.
