Overview:
Seeking a highly organized, proactive, and detail-oriented executive assistant to support a HNW individual. This role combines traditional administrative support with specialized responsibilities in contracting, human resources, strategic planning, and finance.The ideal candidate will be skilled in managing complex schedules, coordinating projects, handling sensitive information, and working cross-functionally to support the individual’s operational and strategic goals. A 24/7 mentality will be essential- work hours will include evenings, weekends, and holidays when required.
Responsibilities:
This role involves managing logistics, handling confidential tasks, coordinating with various stakeholders, and ensuring the smooth execution of daily activities across different locations. Specifically:
- Vendor management, to include identifying, negotiating with, drafting agreements, ensuring compliance, maintaining databases, liaising with and processing POs
- HR support, to include recruiting, training, liaising with and assisting employees, and acting as principal's point person for all staff-related issues
- Personal assistance, such as booking personal appointments, making reservations, coordinating staff accommodation, managing UK properties, assisting with UK events, adhoc support
- Financial and budget management: assisting with reporting, tracking, compliance and forecasting, overseeing all purchasing and ordering in the UK and Europe
- Strategic planning and project coordination: assisting in the planning and execution of strategic projects, participating in strategy meetings, researching and reporting on industry trends, and collaborating on presentations and reports
Requirements:
- 3+ years of experience as an Executive Assistant or similar role, ideally with exposure to contracting, HR, finance, and strategic planning
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
- Exceptional organisational skills with strong attention to detail
- Excellent written and verbal communication skills
- Ability to handle confidential information with discretion and a high level of professionalism
- Excellent at prioritising and managing multiple responsibilities in a fast-paced environment
- Effective problem-solver, with a proactive and solution-oriented approach to challenges
- Brilliant interpersonal skills, ability to work collaboratively with cross-functional teams and communicate effectively with stakeholders
- Candidates must be adaptable, flexible and able to pivot quickly to accommodate changing priorities and business needs
- Strong analytical skills, able to interpret financial data and use it to support strategic planning and budgeting
- Candidates must be open to monthly travel, or upon mutual agreement, to meet Principal for catch up meetings
