The Administration Support Officer will have a pivotal role within the Commercial department of HPL. You will be working with members of our Executive Team and Senior Managers throughout the organisation.
This post is required to support HPL Executive & Management Team in its operational delivery of a wide ranging suite of essential services to the Trust & its customers. Specifically, the role will provide comprehensive and confidential administration support, assist in the management of administration and manage the Teams internal communication requirements.
Main duties of the job
Reporting directly to our Business & Commercial manager, you will be providing administration and marketing support to our busy Executive team.
Working closely with Senior Managers across the HPL organisation, you will be responsible for the management of social media content, updating of website content, and compilation of internal and external marketing collateral.
Supporting our Board of Directors with comprehensive and confidential support, you will provide full administration services such as taking and writing up of minutes, preparation of presentations, diary management, and report writing.
With no two days the same, you should be able to prioritise your workload in order to achieve the best possible outcomes, and confident enough to deputise for our Executive Assistant in their absence.

Detailed job description and main responsibilities
Your key responsibilities include, but are not limited to:
Manage the administration and minute taking for a number of HPL wide committees this on occasion will include Trust board meetings & Executive meetings;Experience of Canva and social media marketing an advantage.
Manage the Teams internal communication requirements including the creation of key information announcements
Coordinate the departments governance processes, including the creation of Terms of Reference & Action Logs as required
Day-to-day management of assists i.e. computer equipment for new joiners
Support the executive team & senior managers with administration within project work across all Exec Divisions.
Excellent written, organisational and communications skills; demonstrate good relationship management abilities and have an understanding of the roles and responsibilities of a meeting secretary.

Qualifications
Essential criteria- Educated to further education standard or higher diploma level
Knowledge and Experience
Essential criteria- Computer literate with proven competence in the Microsoft suite of applications including: Outlook, Word, Excel and Powerpoint.
- Extensive experience as a meeting secretary (formal and informal) including diary management, setting agendas, minute taking, preparation and formatting of reports
- An understanding of the NHS and how it works
