Job overview
Chartridge Ward is a 22 bedded ward. We care for individuals who are medically well, but require additional care to be put in place before they can leave hospital. We are a busy ward with a high number of admissions and discharges each day.
Chartridge is looking for an enthusiastic ward clerk to join our team. The role will involve providing administrative and clerical support to the ward team, maintaining accurate records, collating important patient information, taking responsibility for the maintenance of the administrative areas of the ward, and being the first person that our patients and their loved ones often see when they arrive on the ward.
Main duties of the job- Act as the focal point of administrative communications for the Ward,
- Register, collate and enter onto the computer system all patient records, as well as collating and filing clinical notes - this will involve using the CareFlow EPR / CareFlow Connect & Evolve systems, as well as many others
- Enter basic patient data onto the computer, especially admission, transfer and discharge details.
- Prepare documentation from admission to discharge for use by the
- Filing of documentation in patients’ notes.
- Ensure that patient notes are filed and return to medical records in a timely manner
- Maintain patient notes on the ward in an organised and methodical manner according to Trust guidelines, including filing of results & printing patient labels.
- Ensure there is an adequate supply of appropriate patient information leaflets and paperwork required by staff.
- Liaise with other departments as required.
- Booking of patient transport and transport risk assessments as led by the ward team

EXPERIENCE
Essential criteria- Experience of taking and responding to telephone enquiries from customers and within own organisation and prioritising, as necessary
- Six-month experience of working withing NHS environment/ customer care
- Experience of using computers in a work environment
- Minimum six months receptionist experience/ or other relevant experience
EDUCATION, QUALIFICATIONS & TRAINING
Essential criteria- English Language GCSE grade C or above or equivalent
- IT qualification
- Administrative qualification
SKILLS, ABILITIES & KNOWLEDGE
Essential criteria- Ability to communicate clearly in spoken English
- Ability to write legibly and clearly in English
- Ability to relay messages clearly and accurately
- Computer literate with knowledge of Word and Excel
- Understand the need for confidentiality and data protection
- Demonstrate ability to organise own workload, prioritise and take initiative where necessary.
