Job overview
To provide a comprehensive Admin and PA service to clinical members within the speciality, including coordinating meetings, coordinating clinic preparation, booking patient appointments, tracking patients through their pathways, producing clinic letters, other documents and dealing with patient and GP queries and concerns in a sympathetic and constructive manner.
Main duties of the job- Provide comprehensive support to speciality clinical teams including Lead clinical nurse specialists (CNS) with diary management, coordinating and arranging meetings, taking minutes.
- To manage band 3 Administration Assistants, adhering to the trust HR policies where required.
- Carry out a range of complex administrative tasks specific to work area.
- Check and update patient information on the Trust’s medical records system (EPIC)
- Ensure appointments and transport requests are made when required.
- Ensure new referrals are processed in line with Trust policy
- Typing and generating letters using a variety of different methods, ensuring that all letters are linked to encounters, meeting deadlines including turn-around times.
- Ensure all orders have been made from letters and discharge summaries when required.

Qualifications
Essential criteria- Educated to A Level or Level 3 Business Admin/IT qualification or equivalent experience including
- English GCSE pass at Grade 4 or above
- Maths GCSE pass at Grade 4 or above
- Touch typing certificate or equivalent experience
- Audio typing experience
- Secretarial qualification (RSA III) or equivalent experience
- IT specialist, health informatics qualification or equivalent
- Team Leader/Management qualification
- Medical Terminology Certificate or equivalent
Experience
Essential criteria- Experience of administrative work
- Prioritising, planning and organising own tasks
- Working within guidelines and developing administrative processes
- Customer service and dealing with enquiries in difficult situations
- Data entry and producing reports
- Experience of IT packages – Microsoft Office
- Secretarial and/or administrative including diary management, co- ordinating and arranging meetings, minute taking and developing templates.
- Allocate and monitor work of others
- Audio typing
- Familiarity with Epic computer system
- Previous experience of working in the NHS
