Job Summary:
Are you a meticulous professional, flexible, and a strong team player, looking to join a friendly and dynamic team of four? We are seeking a dedicated Medical Secretary to support Mr. R. Kalyan, Consultant Spine Surgeon, at our expanding practice, Spine Solution Limited.

This role is vital for ensuring smooth operations and delivering exceptional patient care.

Key Responsibilities:

  • Provide comprehensive secretarial, administrative, and business support
  • Adapt to varying workloads and business needs with flexibility
  • Ensure smooth operation of daily tasks and meet deadlines effectively

Role Type:

  • Self-employed

Salary:

  • Starting rate from £12 to £15 per hour, depending on experience.

Additional Benefits:

Working Hours: Be part of our dynamic team with a schedule that prioritizes balance and flexibility.
  • Hours: 32 to 42 hours per week
  • Primarily Monday to Friday, with occasional weekend support (1 in 4 weekends, for 4 hours).
  • Core business hours are from 9 am to 5 pm, with additional support as needed between 8 am and 6 pm.
  • Flexibility throughout the week is essential to meet business needs.

Job Commitments:

  • Forwarding dictation to the typist after clinics.
  • Entering data post-clinic and acting on recorded outcomes.
  • Formulating and forwarding clinic letters to relevant parties. Occasional urgent typing is required.
  • Creating and sending invoices to patients, insurance companies, etc.
  • Answering phone calls from new and existing patients, hospitals, and other medical professionals.
  • Handling new patient inquiries, including taking information, booking hospital appointments, and transferring images.
  • Promptly addressing patient inquiries and requests.
  • Managing email inquiries.
  • Processing payments from patients and issuing receipts.
  • Accurate data entry into the practice software system.
  • Preparing for clinics and surgeries (Getting notes, sorting pending action plan, transferring images as required, etc.).
  • Managing diaries manually, electronically, and via phone systems.
  • Correctly filing clinical notes.
  • Updating the filing system and maintaining records.
  • Conducting risk assessments and reporting any observed risks to the Consultant or Manager immediately.
  • Ensuring data confidentiality and preventing breaches in all communications.
  • Conducting weekly and monthly clinic data analysis.
  • Participating in business development activities, including writing letters, managing social media, and collecting patient reviews.
  • Providing additional support as needed.

How to calculate your Hourly Rate:

Your hourly rate should cover all your self-employment costs, including:

  • Your normal hourly rate
  • Holiday period costs (5.6 weeks or 28 days)
  • 8 days of Bank holidays
  • National Insurance and tax, others like Income Protection
  • Pension contributions
  • Any other relevant costs (consult your accountant)

Invoicing:

  • Invoice Spine Solutions Limited on a monthly (preferable) or weekly basis.
