Job overview

The post holder will work as part of a team responsible for ensuring the smooth operation of sites associated with Hillingdon Community Adults and Children's Services.

They will have a particular focus on Health and Safety, ensuring an effective, efficient and positive service to both patients, families, cares and public who utilise the site facilities.

The post holder will have experience in people management and line management responsibilities. The post holder will have strong administrative and leadership skills and will be able to evaluate and prioritise work in a busy clinical and office environment and respond quickly to daily changes in duties or service requirements.

The post holder will have excellent interpersonal skills and have the ability to communicate effectively with service users, carers, health professionals and teams members. They will form good working relationships at sites where other NHS services co-located.

The post holder must process good IT skills and be able to assist with Health and Safety audits and information monitoring.

The post holder will work under own initiative with a flexible and adaptable approach to the job role in order to meet the changing service needs .

Main duties of the job

To have a good general understanding of Hillingdon Adults and Children's community services in order to effectively provide information and advice to staff, patients and other professionals.

To act as a point of contact for service and community administrators for any site queries or concerns.

To work closely with the Health Centres Administration Lead to ensure there is standardised practice across the service roles and adherence to policies and procedures.

To proactively manage the systems and processed to ensure adequate capacity within community health clinics and escalate as required to the Services Support Manager (or others) for resolution.

To assess work priorities on a daily basis and provide direction, instruction and allocation or work as required.

To ensure the maintenance of all office systems are compliant and processes are followed for reporting of faults.

Assist the Health Centre Administration Lead by undertaking some administrative tasks on behalf of a larger group of sites.

To provide cover on behalf of the Health Centre Administration lead when required.

Person specification

Qualifications and Education

Essential criteria
  • GCSE (A* - C) or equivalent in Maths and English
  • Higher National Certificate/Diploma or equivalent level of knowledge/experience in a relevant area

Experience

Essential criteria
  • Experience of working in an administrative capacity
  • Experience in a supervisory or line management role
  • Understanding of Equal Opportunities and Diversity
  • Understanding of Data Protection / Confidentiality
Desirable criteria
  • Experience of working in a customer care/public facing setting
  • Experience of working in a healthcare setting
  • Knowledge of Patient Appointment/Database Systems i.e. SystmOne

Skills and Abilities

Essential criteria
  • Demonstrable knowledge of MS Word, Outlook, MS Teams and Excel
  • Accurate data entry and typing skills
  • Excellent written and verbal communication skills
  • Ability to negotiate and influence others
  • Able to work to a high level of accuracy and with attention to detail
  • Demonstratable knowledge of using different systems and databases
  • Ability to work unsupervised
