Assistant Project Manager

Salary: £30,000 - £36,000

Hours: 08.00 – 16:30 (Mon-Fri)

We are a large small works and project management provider, based out of the Llansamlet area, who sub-contract to some of the largest government contracts and Facilities Maintenance providers in the country. An Assistant Project Manager’s job entails a wide array of administrative and management tasks that assist an organisation’s Project Manager.

Some responsibilities include the planning and implementation of projects, coordination of project tasks, and other duties such as setting up meetings, drafting invoices and more. The successful candidate will join a positive, encouraging work environment.

Key Responsibilities:

  • Support Project Managers and team and develop the successful delivery of projects using key project management principles, including risk management, change management budget control and quality whilst always maintaining a focus on safety.
  • Communication, both verbally and in writing, to enable clear and effective interaction with superiors, colleagues, and individuals inside and outside the Company.
  • Tracking RFQ’s (Requests for Quotes), RFI’s (Requests for Information) with clients, contractors, and suppliers.
  • Assist in the planning, scheduling, and booking jobs for the various trades.
  • Update and maintain in-house management system ensuring information is accessible.
  • Create and maintain project documentation, including electronic and physical O&M Manuals and reports.
  • Identify and document specific actions including establishing milestone to be performed to produce the project deliverables.
  • Coordinate orders with Sub-contractors / suppliers efficiently and arrange Work Orders accordingly.
  • Produce Risk Assessments, Method Statements and COSHH Assessments.
  • Work with the appointed Principal Designer in issuing all Pre-Construction information and reviewing/approving all Construction Phase Plans.
  • Support procurement activities, including vendor selection, negotiation, and contract administration.
  • Coordinate the procurement of the materials and equipment to achieve successful delivery, ensuring IWS’ quality of work is maintained and balanced against the clients’ own requirements.
  • Assessing, producing, and submitting Applications for Payment, invoicing, and completion certificates in a timely manner.
  • Arrange pre-start activities (e.g., site meetings, surveys, test visits) as necessary.
  • Lead weekly and progress meetings and support stakeholder engagement.
  • Be proficient with Microsoft 365 software.
  • Be a team player and willing to learn new skills.
  • Driving licence ideally required. Lease car is available where there is a clear business need.
  • Be highly motivated with a proven ability to multi-task and work productively in a high-volume environment.
  • Strong analytical and problem-solving abilities to anticipate and address project-related challenges.
