An administrative assistant is required to support the work of the Post Graduate Medical Education team. This is a 6 month post to cover a secondment.

Main duties of the job

Run, process and monitor the study leave management system

Support with, and organise activities within the team

Assume the role of systems administrator for the Education Directorate databases related to Medical Education

Undertake general secretarial and clerical duties as and when necessary as requested by the Medical Education Programme Administrator

Organise and note-take at Education Faculty Meetings

Assist in the allocation of Clinical and Educational Supervisors for Junior Doctors, identifying any gaps and highlighting immediately

Keep Excel Doctors in Training records up to date with each new intake

Use the National Training Information System (TIS) to obtain trainee details

Detailed job description and main responsibilities

Processing and monitoring of Study leave, for LET Postgraduate doctors via Accent System

Processing and monitoring of Study leave for all Trust employed doctors including monitoring of individual budgets linking in with the Trust Finance Team

Work with the Clinical Educators to plan and organise activities within Medical Education e.g. Junior Doctors induction, Foundation Programme shadowing and teaching programme

Liaise with Medical Education Faculty regarding their requirements for Training and Supervision

Essential criteria
  • Educated to GCSE level in C grade or above in English, Maths, Science and IT or equivalent level of education training or experience
  • Knowledge & experience of a range of administrative processes Good IT skills, proficient in using MS packages
  • Team working Significant experience in working in an administrative area
Desirable criteria
  • Previous experience of working in medical education in NHS Organisation of courses or programmes of education
  • Previous experience in the NHS Knowledge of Medical Education

For any new employees commencing employment with North Tees and Hartlepool NHS Foundation Trust , you will be subject to satisfactory completion of a 6 month probationary period. Please note that internal applications and individuals that are appointed to fixed term appointments of less than 6 months duration are exempt from the probationary period (unless you are an internal applicant currently part way through a probationary period or a bank member of staff).
