Property and Facilities Administrator

Role Introduction:
We are seeking a proactive and organized Property Administrator to join our dynamic, diverse team. The ideal candidate will be responsible for a variety of administrative tasks, incl. property and facilities management, room booking, procurement processes, health and safety audits, office moves, and closures.This role is critical in ensuring the smooth operation of the department and supporting our technology initiatives.
What You Will Do:
- - Provide day-to-day administrative support to the Facilities Executive
- Handle the booking and scheduling of meeting rooms, ensuring availability and appropriate setup for meetings and events.
- Act as a key Fire warden officer and Key First responder.
- Manage room calendars and resolve any scheduling conflicts.
- Process purchase orders for maintenance supplies and equipment, ensuring timely procurement and delivery.
- Ordering stationery, kitchen consumables, and equipment for home workers
- Assist with onboarding new team members by setting up workstations and providing necessary resources.
- Liaise with couriers
- Providing occasional reception/ phone cover and oversight of the reception staff.
- Travelling to OneAdvanced office locations around the UK to assists with administrative aspects of property management
- Assist the BT Service Desk with responding to and resolving Facilities-related queries
- Liaise with facilities management for any maintenance or repair issues.
- Maintain records and assist in the coordination and execution of audits (H&S, ISO 27001) and maintenance of certificates (First Aid, Fire Warden, electrical, legionella).
- Coordinate logistics for office moves, including arranging for the transportation of equipment and furniture.
- Assist with the planning and execution of office closures.
What You Will Have:
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Communication: Excellent verbal and written communication skills; ability to interact with all levels of staff and external contacts.
- Organization: Strong organizational skills with the ability to multitask and prioritize effectively.
- Attention to Detail: Keen attention to detail and accuracy in all work.
- Problem-Solving: Ability to identify issues and develop practical solutions.
- Team Player: Capable of working independently and as part of a team in a fast-paced environment.
- Flexibility: Willingness to adapt to changing priorities and take on new challenges.
- Driving license: Ability to travel to various office locations with the UK
