An opportunity has arisen for an enthusiastic and hardworking Ward Clerk to join the team on The Stamford Unit, Floor 2.

Under the direction of the Unit Manager / Sisters you will help us to ensure that we provide an efficient service for our patients and relatives.

Previous experience is desirable and a full induction into the role will be given.

You are required to be professional, accurate, demonstrate computer skills and be confident when using the telephone.

Experience of working with the public is desirable and you will be happy to deal with people which could be patients, relatives and healthcare professionals on a daily basis.

****Please note that the successful candidate can do the Level 3 Business Administrator apprenticeship if they would like to once in role****

To register and receive patients arriving on the Unit for admission.

The post holder acts as the first point of contact for all forms of communication for the Nurse in Charge of the ward and their team.

To provide clerical support to the Stamford Unit.

SECTION 1 – MAIN RESPONSIBILITIES

Registration and reception on the Unit of patients arriving on to Stamford Unit

Introduce the patient and escort them around the Unit environment.

Answering telephone and dealing with all enquiries/requests liaising with the Nurse in charge of the ward.

Liaising with Nursing/other staff to maintain an accurate and reliable information system.

Liaising with other departments/areas as necessary.

As directed by nursing staff, arrange for transport for Discharge/Transfer of patients.

At all times deal with patients’ messages and requests in a polite and courteous manner as appropriate.

To make senior sister aware of any problems/worries relating to sphere/area of work.

Filing doctor’s reports in the patients’ notes after they have signed them, and forwarding them on after discharge.

When necessary, dealing with urgent deliveries to other parts of the hospital, i.e. Dispensaries, Pathological Laboratories.

Redirecting patient’s mail from ward to homes, and also between wards.

Generally assisting in a non-nursing capacity as directed by the Unit sister, i.e. assist as need be with meals and patients beverages as required.

PROFESSIONAL/CLINICAL

ADMINISTRATIVE/MANAGERIAL

Recording and compiling statistical information e.g. daily ward occupancy, and record/compile lists of patients regarding operations cancelled, list admissions cancelled, delayed discharges, outliers, child protection cases, etc.

Check ward stationery and inform Senior Sister as budget holder of any supplies that need ordering.

Complete requisition forms (stationery etc.) and present to Senior Sister (Budget Holder) for signature.

To provide cover for colleagues as directed by your manager.

SECTION 2 – KNOWLEDGE AND SKILLS

The post holder will have computer skills.

The post holder will have good communication skills.

The post holder will have skills to communicate complex information to Nurse in Charge.

The post holder will contact patients, relatives, carers on the instruction of the Nurse in Charge if required to do so.
