You will be working as part of a team of 6 medical secretaries and 10 Stroke consultants with support of the Operational team.

The role is responsible for managing a team of medical secretaries and providing comprehensive administrative, clerical and transcription support to Consultants and their teams.

Main duties of the job
  • Follow the Delivering Performance process for the team, consider training and development requirements
  • Support and develop an effective induction process
  • Co-ordinate team leave, using Healthroster, and ensure appropriate service cover is maintained
  • Manage and monitor sickness absence of their team, reporting as necessary to Human Resources, Payroll and senior management
  • Manage the recruitment, selection and induction processes for new staff, ensuring policies and procedures are followed
  • Ensuring effective communication through regular team meetings
  • Monitor the work environment to meet health and safety standards and recommend areas of improvement
  • Manage order and monitor all equipment and supplies within the department considering budgetary guidelines

Qualifications

Essential criteria
  • Computer literate including Word and Excel and use of software packages eg outlook for updating calendars
  • GCSE in Maths and English or Equivalent
  • Knowledge of a range of secretarial and administrative work procedures and practice, including a knowledge of software programmes and an understanding of medical terms
  • Previous experience of working within a busy environment
Desirable criteria
  • Previous NHS/ administration experience
  • NVQ Level 2, RSA level 3 or equivalent

Skills

Essential criteria
  • Ability to prioritise workload and meet deadlines
  • Ability to communicate with, co-ordinate and liaise with a multidisciplinary team
  • Ability to work well within a pressurised environment
  • Data entry, text processing, storage of data, numeracy, accuracy and attention to detail
Desirable criteria
  • Audio typing to 50 wpm minimum

Personal/professional attributes

Essential criteria
  • Ability to work without supervision
  • Excellent organisational skills
  • Able to make judgements involving facts or situations requiring some analysis
  • Good interpersonal skills e.g. interact with colleagues and clients courteously
