The salary scale above has been agreed as part of the NHS Agenda for Change pay award for 2024/2025 and will be implemented in November 2024 backdated to 1st April 2024 where applicable.

Job overview

We are looking for an enthusiastic and motivated individual to support the Wrexham CAMHS Reception.

This is a full time, permanent post which covers a range of administrative tasks to aid the continuity of an extremely busy service to our patients / carers and other professional colleagues. Previous reception and customer service experience is essential.

You will also have knowledge of Microsoft packages including Outlook, Word and Excel. The ability to prioritise your work and be highly organised is paramount to this post, as is excellent interpersonal skills, which includes a friendly telephone manner, whilst providing a professional, sensitive manner and maintaining confidentiality at all times.

The ability to speak Welsh is essential for this post.

Main duties of the job

To provide reception cover including receiving and greeting visitors to the building in a courteous and professional manner and directing visitors as required.

Updating and maintaining patient records using the patient administration system.

Receiving and responding to telephone enquiries from patients, families and other outside agencies and other Health Board staff in a professional, helpful and sensitive manner.

Arriving patients using the patient administration system and verifying that patient data is correct.

Undertake such miscellaneous clerical duties as become necessary e.g. photocopying, ordering stationery, faxing patient information etc.

Undertake the booking of follow up appointments where appropriate to ensure accurate recording of patients attendance.

Arranging meetings with professionals and relatives including booking of rooms and co-ordinating bookings on the electronic diary system.

Taking verbal prescription requests from young people/families in person or via telephone, together with all other admin team members, for presenting to consultant for preparation and prescribing.

Assisting in maintaining an up to date filing system and electronic databases.

Undergo any relevant training updates to the job role.

Provide any other clerical duties appropriate to the post.

Work in a flexible manner, which meets the staff needs and the service needs of the Department.

Essential criteria
  • Good standard of education including English and Maths
  • Welsh Speaking -Minimum Level 3 Required
Desirable criteria
  • NVQ2 Admin / Customer Service
  • ECDL

Experience

Essential criteria
  • Previous Customer Service / Receptionist Experience
Desirable criteria
  • Experience in all office procedures within an NHS environment
  • Knowledge of WPAS

Knowledge & Skills

Essential criteria
  • Familiar with word packages and the use of outlook
  • Able to work to deadlines
  • Able to communicate with all staff groups patients and families

Pesonal Qualities

Essential criteria
  • Approachable and professional in dealing with our service users
  • Ability to work alone or as a member of a team
  • Good organisational skills
  • A flexible attitude towards duties and responsibilities
