Job overview
We are looking for an enthusiastic member of staff to join our existing secretarial team within the Head and Neck Department as a Medical Secretary to our Oral and Maxillofacial, Orthodontics and Restorative Dentistry Team.
The ideal candidate will have proven admin experience, be willing to audio type and be able to provide excellent customer care.
We will provide training for our patient records systems and the hospital databases, such as PAS and e-Referral system.
Experience of using Microsoft applications would be advantageous. We would expect the candidate to have proven relevant experience of working in a similar role.

Main duties of the job
Responsible for providing an in-depth administrative support to the OMFS clinical team and the wider department.
This will include tracking of investigations including those on Oncology pathways. Audio typing of clinics and ensuring all RTT and outcomes are completed accurately.
Assist with telephone enquiries from patients, GPs and other agencies in a courteous and helpful manner. Liaising with medical staff and other departments as necessary.

The Head and Neck Department consists of Ear, Nose and Throat, Oral and Maxillofacial Surgery, Orthodontics, Restorative Dentistry and Plastic Surgery.
The Head and Neck service is very busy and the secretarial team is key to ensure things run smoothly and efficiently.
It is therefore imperative that each member of the team works well under pressure and as a team player but equally as important that they are able to work independently and priorities workload effectively.

Essential and desirable
Essential criteria- Good standard of education - Maths and English GCSE / Equivalent
- Typing to RSA II / OCR II (WPM 40)
- Experience in similar secretarial/administrative role
- Knowledge of Microsoft Office software including Excel
- Customer care experience
- Ability to work on own and part of a team
- Audio typing experience
- High level of attention to detail
- Ability to communicate with all (verbally and in writing)
- Knowledge of Trust patient administrative systems and software
- Knowledge of patient target list (PTL)
- Knowledge of referral to treatment (RTT)
- Previous experience working in the NHS / medical / hospital setting
- Minute Taking
- Medical Terminology qualification
