As a Personal Assistant and Business Support Officer, you will join the Major Rail Projects Group, providing group wide business support to senior leaders. This high-profile role involves working closely with key stakeholders, including the Senior Leadership Team at both Directorate and Group levels.

A key aspect of your role will be managing the diary and inbox for senior leaders, proactively handling complex and evolving schedules. You will anticipate actions and plan effectively in line with priorities and work styles. In addition, you will monitor and respond to correspondence, including drafting replies to routine queries, and taking the initiative to commission contributions from the business on those that require an expert response.

Your key responsibilities will include, but are not limited to:

  • Building strong, open, collaborative relationships with senior leaders to understand their preferences, areas of responsibility and priorities.
  • Organising meetings for the senior leadership team, including setting up suitable dates, room bookings, forward planning agendas, coordinating and circulating papers, minute taking, following up actions, keeping updated action logs, as required and the regular reporting of management information.
  • Preparation for attendance at forthcoming committees and Board meetings, ensuring papers and briefing materials are received from lead officials, allowing for discussion and changes before the meetings take place.
  • Ensuring travel arrangements, hotel bookings and conference arrangements are made well in advance, using the most effective means of transport and accommodation to ensure value for money.
  • Support wider directorate and group business management as required including managing recruitment campaigns, tracking workforce changes, administering reward processes, supporting IT requests and monitoring directorate finances.
