Main duties of the job

We are looking for someone who can provide a high quality, comprehensive and effective administrative and contract support to the Commercial team. The role will be largely about working with contracting colleagues on generating new contracts and associated internal approval documents, capturing notes around contractual issues and queries between the ICB and Suppliers.

Ensuring a clear audit trail in all actions that relate to the administering the contracts.

If you have a good attention to detail, like processes and systems, being organised, methodical and calm under pressure, this may be the role for you. Its a 6 month opportunity to support us with capacity needs and gain some useful insight and experience in working in a commercial team in the NHS.

Act as the first point of contact for enquiries, supporting the team by answering queries mainly in email form and occasional telephone calls.

Producing documents by applying knowledge and skills in the use of Microsoft Office.

Managing the signing process for internal documents and legal agreements and updating the e-commercial contracts database.

Electronic filing of contractual meeting notes, signed contracts and audit trails relating to contractual queries and issues.

Supporting Contract Managers with general administration such as setting up meetings, creating agendas, taking notes or action grids.

Essential criteria
  • NVQ level 4 or above or equivalent experience
  • Experienced in using Microsoft Office (incl word, excel)
  • Experience of working to tight deadlines
  • Experience of working in team orientated, collaborative environment
  • Able to communicate at all levels, (team members, providers, other professionals)
  • Experience of a wide range of business/administrative tasks
Desirable criteria
  • Experience in preparing contract documentation
  • Experience in project co-ordination/monitoring
  • Knowledge of NHS and its systems and processes
  • Experience of using databases
