Job Responsibilities: To provide an efficient audio, copy typing and word processing service for the practice as required. This includes the typing of letters, reports, patient referrals, minutes, etc. in an accurate and quality manner, and filing appropriately in electronic form.
This requires understanding the context of the audio/written dictation and at times rearranging/rewording. Secretaries will at times need to produce correspondence without dictation, to be sent without clinicians signature. Minute taking at meetings as required. Knowledge and use of e-Referral Service including monitoring of website and reporting of problems to the Referral Management Service and familiarity with referral pathways/criteria.
To advise clinicians when aware of changes to criteria or suggest alternatives. Checking of all outgoing referrals that all necessary information/enclosures present to avoid rejection Knowledge and use of Maxims system for obtaining reports Ensure results/reports are brought to the attention of clinicians in a timely manner.
Daily monitoring of email (own and bosvena.secretary@nhs.net) and action appropriately. Awareness of and compliance with methods of secure email To assist with all clerical and administrative duties as needed. Dealing with patients and hospitals etc on the telephone.
To receive incoming, and initiate outgoing, telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries. To establish and maintain electronic filing so that information is easily accessible and secure as required.

To assist with the gathering of statistics and information when required. To provide cover for members of the secretarial team during periods of sickness and annual leave. Knowledge/awareness of practice policies and procedures that are relevant to this post/practice To contribute to team development and training at team meetings and appraisals To report Significant Events (both good and bad!) via the appropriate route. Update TeamNet (Practice Intranet) address book as required.
