To work under own initiative where appropriate in a professional and motivated manner.
To maintain confidentiality at all times. To ensure the security of the building at all times and adhere to the Health and Safety regulations. To recognise the special position of trust and responsibility of the post and that attitude to patients, colleagues and the impressions made are of prime importance to the tone of the practice as a whole.
Key tasks To undertake general clerical duties: Photocopying, filing, completing forms, dealing with mail, checking supplies and stationary according to practice protocols. Receiving, recording and passing accurate messages according to practice protocols.
To answer the telephone promptly and in a polite manner. To ensure medical records and any necessary forms are available for surgery consultations and clinics as required Receive and direct patients in a polite manner and arrange follow up appointments including home visits in accordance with our systems.
To cancel or rearrange clinics as requested by the manager. To register new patients ensuring all documentation and necessary checks have been completed and to enter the information onto the computer. To answer all general, non-medical enquiries from patients.
To type accurate correspondence for NHS and private patients, to hospitals etc and any other correspondence as required, ensuring all letters are spell checked and read through prior to being sent for signing. To receive requests for and issue repeat prescriptions ensuring they are correctly prepared and signed by a doctor, prior to being given to patients, according to practice protocols.
To act as a chaperon to patients in the absence of the practice nurse. To recognise the sensitive nature of acting as chaperon and to act in a discreet, professional manner taking into account patients needs. To ensure that records are made in the patient notes each time you act as a Chaperone to advise on appropriateness of the consultation.
To ensure that samples are made available for daily collection by the courier service according to practice procedures. To action doctors requests on hospital/other correspondence received by the practice contacting and following up patients that do not attend according to practice protocols.
To work under own initiative with regards to simple problem solving, repairing damaged files, maintaining summaries and general quality control. To help ensure that all patients over the age of 75 years are offered screening on an annual basis according to updated guidelines as required or requested by the Practice Manager To help maintain health promotion with the help of the practice manager.
To deputise for colleagues during periods of absence due to holidays and sickness according to contract. To participate in training as required. To take care with all surgery equipment and furniture, to minimise accidents and wear and tear to surgery property.
To ensure mutual respect between colleagues and patients is maintained at all times. To work with colleagues as a team where and when appropriate. To remember that as a representative of the practice, all tasks must be carried out with the interests of the practice in mind.
To appreciate the evolving nature of General practice and to maintain a flexible approach to new developments. To maintain security of the premises, locking and unlocking doors and opening and closing windows as required. To ensure that all rooms are ready for surgeries and clinics with adequate supplies of forms and stationary in appropriate locations and that all rooms are left tidy after use.
Sort and distribute incoming post to recipient promptly. Prepare outgoing post, stamp and ensure despatch. Arrange, amend new/follow up appointments for patients and recalling patients. Obtain patients records from file for surgeries, clinics and home visits or as requested, including any necessary contact with patients, hospitals, H A etc Replace to file all patients records following their use.
Enter details of new patients onto computer system and update existing records as directed. To type (word process) all correspondence as directed and required including any necessary photocopying and related tasks. Arrange ambulances and transport for patients to hospital where appropriate.
File letters into patients notes when required using the protocol set out by the practice. To process tasks on a regular basis and follow instructions given by the doctor, nurse or manager within those tasks. To action letters in SystmOne where a follow up, referral or consultation is needed as appropriate to your role.
To use Systmonline to create an account for patients to access the surgery on line. Photocopy notes for solicitors etc using the practice protocol, making sure that consent is obtained and monies received before despatch. Ensure that all relevant forms for temporary, maternity and new patients are filled in FULLY and signed and dated then processed on the computer.
To process SAR (Subject Access Requests) according to practice procedure ensuring that timescales are met and that the practice is not in breach of GDP Regulations including requests from Patients, Solicitors and Insurance companies. To send out SCR letter, New Patient Healthcheck letter, named accountable GP letter and Sharing of Data letter to new patients.
Any other duties appropriate to the grading of the post. External Relationships Ensuring efficient internal and external communication including being the focal point for contact with the Primary Care Organisation, solicitor, accountant and other bodies Confidentiality: In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters.
They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately In the performance of the duties outlined in this Job Description, the post-holder may have access to confidential information relating to patients and their carers, Practice staff and other healthcare workers.

They may also have access to information relating to the Practice as a business organisation.
