HR Administrator
The Human Resources Administrator will act as the first point of contact and provide general HR Administration support to a high standard for both Borough Academy and Hatcham College. They would be expected to work across sites as necessary. The Human Resources Administrator will liaise with the Senior HR Advisor to support with Payroll administration, coordinating seamless recruitment, staff onboarding, updating Access (the School payroll and HR System) and Arbor as well as any other tasks as directed by the School’s Senior HR Advisor.

Key responsibilities
Staff onboarding:
- Ensure that all pre-employment checks are completed prior to commencement of employment in accordance with the Trust’s Safer Recruitment Policy with regards to references, DBS, Right to Work, Qualifications, Medical checks and overseas police checks etc.
- To collate and check all pre-employment documentation associated with the Disclosure and Barring Service (DBS) and raise any concerns to the Senior HR Advisor.
- To ensure that all the Right to Work compliance checks have been completed prior to the commencement of employment.
- To liaise with the Senior HR Advisor, School Executive Business Manager, Principal to ensure that any anomalies in the pre-employment check process are highlighted and managed appropriately.
- Liaise with recruitment agencies as directed by the Senior HR Advisor to ensure they comply with the above checks for all temporary workers.
Payroll:
- Support with identifying payroll errors and implementing corrective action, where required, to ensure the appropriate authorisation has been obtained, employee payments are processed accurately and database integrity is maintained.
- As directed by the Senior HR Advisor, help with completing the payroll data inputting on Access (HR and payroll database) on a monthly basis and ensuring changes on the systems have been correctly authorised, in line with the payroll deadline.
- Escalate and manage email accounts for the schools and escalate any payroll enquiries, as appropriate, to the Senior HR Advisor.
- Support the Senior HR Advisor with processing the annual pay review, ensuring information is accurately recorded on Access and letters are issued in a timely and accurate manner.
- Support with the administration of family friendly leave, such as Maternity, Paternity Leave requests, escalating as appropriate to the Senior HR Advisor and uploading documents such as MATB1 etc on Access in a timely manner.
Recruitment:
- Liaising with the finance team to ensure that any recruitment requests have budgetary approval prior to commencing any recruitment activity.
- Support with drafting recruitment packs and adverts. Placing adverts on relevant job boards, including TES and LinkedIn etc.
- Organise and support recruitment activity, coordinating recruitment campaigns as well as supporting with interviews and assessment centres.
- Undertake the administrative duties associated with recruitment, including drafting adverts, interview invite letters, references, and conditional offers through to post offer employment documentation and filing, ensuring salary and terms offered are correct.
- Liaise with recruitment agencies, as directed by the Senior HR Advisor.
HR System:
- Ensure accurate and timely inputting of data onto Arbor and Access, including, new starters, leavers, contractual variation, maternity, paternity, absence and annual leave etc.
- Support with producing and updating standard management reports to assist the Senior HR Advisor and SLT with decision making.
HR Administration:
- Providing first line support to ensure staff queries are dealt with professionally, accurately and in a timely manner.
- Work accurately and efficiently both as part of a team, prioritising own workload and support the Senior HR Advisor to meet deadlines for Payroll and Recruitment.
- Monitor and manage HR inboxes and Job inboxes on a daily basis.
- Prepare standard letters, such as offer letters, leavers and payroll letters.
- Support with the administration of sickness absences, ensuring that they are inputted to the systems to time and accurately.
- Support with maintaining accurate and up to date HR spreadsheets, such as Payroll, recruitment, onboarding, DBS renewals etc.
- Assist with maintaining the Single Central Records for all establishments and undertaking training to enable safer recruitment of staff. This includes, compliance checks for agency staff across Borough Academy and Hatcham College.
Role Specific Accountabilities:
- Communicate sensitively with a wide range of stakeholders, including colleagues, students (where appropriate) and external contacts.
- Maintain professional and up to date knowledge of changes to equality, diversity and inclusion, employment legislation, policies and professional best practice.
- Keep information in a confidential manner, following data protection regulations and ensuring the HR operational team and personnel files, and recruitment records are GDPR compliant.
- Ensure up to date knowledge of terms and conditions of employment for School Leaders, Teachers and Support staff.
- Support all aspects of Child Protection and Safeguarding of Vulnerable Adults.
- Undertake continuing Professional Development (CPD) and training to update own skills and knowledge.
- To carry out other such similar duties that may be reasonably required by Senior Director of People, Senior HR Business Partner, Principal and Senior HR Advisor.
- Provide and promote HR service excellence and foster effective teamwork and relationships.
