Role purpose:

Work with the Executive Assistant to the CEO and wider Executive Assistant team in support of their activities within CITB and provide part-time support to the People Director, to assist with diary management, meetings, travel and ad-hoc admin tasks.

The role is to provide:

an efficient and highly confidential administration service to the Executive Assistants, including: specific diary management for the People Director.

arranging meetings as directed by the Executive Assistants.
coordinating responses (sometimes highly confidential) as and when required.
providing administrative support to the Executive Assistants in their support of the Executive team to include hotel and travel arrangements, meeting co-ordination and diary assistance.
provide cover for the Executive Assistants as and when required, particularly holiday and sickness.

working with the Executive Assistants to promote and encourage the use of internal systems such as SharePoint, CRM, Concur and booking systems.

Key responsibilities and accountabilities:

Timely and accurate administration support for Executive and Leadership teams as required by the Executive Assistants
Provide general administration support to the EA team and deputise as and when required due to holidays/absence/meeting cover
Support meetings to take minutes and action notes as required

Acknowledge emails, work with relevant senior colleagues to facilitate and coordinate responses, ensuring the tone of the response reflects CITB’s values and behaviours.

Other ad-doc administrative duties

Knowledge and Experience:

Essential

Good standard of secondary school education – a minimum of 3 GCSE’s (including English and Mathematics) or equivalent.
Proven organisation skills.
Highly developed written and spoken communication skills to communicate with discretion and tact.
Competent negotiating, influencing and persuading skills.
Emotional intelligence and empathy.
Experience of managing conflict and setting priorities.
Experience of working with highly confidential information/data.

Experience in a secretarial, personal assistant or similar role.

Experience of working autonomously as well as within teams

Experience of using Microsoft Office or equivalent tools including spreadsheets, databases, document management and communication applications.
Proven problem-solving experience.
Attention to detail.

Desirable

Knowledge of the business.

Able to work confidently without supervision
Able to work flexible working hours
Able to work with and protect highly confidential material
Able to travel to London, other CITB sites and other locations as required
