Patient Administration Officer
The Role:
As a Patient Administration Officer with us, you'll play a pivotal role in ensuring all patient referrals are processed and appointments are booked efficiently in accordance with Genesis Care policies and will undertake all administrative activities required along with providing excellent customer care to patients and visitors attending the Centre.

What You'll Do:
- Work closely with consultants and secretaries to provide support in the patient referral pathway
- Providing all patients with a courtesy call within 24 hours of receiving the referral
- Communicating with the clinical teams to ensure the referral is effectively processed
- Provide the patients with all the information required regarding their appointments at Genesis Care
- Request dataset, medical images and previous treatment information from other secretaries and hospitals
- Engaging with NHS Trusts as and when required
- Liaising with the internal Finance team to ensure bookings can proceed
- Booking additional services to enhance the patient experience (Penny Brohn, exercise medicine, dietician, taxi etc)
- Manage scheduling of appointments and activities for patients, consultants, and staff
- Ensure accurate data is entered into MOSAIQ for all referrals, in line with the agreed processes within Genesis Care
- Maintaining all aspects of the patient pathways by completing MOSAIQ QCL’s (Quality Checklists)
- Ensure that patient confidentiality is maintained in respect of personal information in accordance with Genesis Care policies and statutory legislation
- Reception duties are part of the role, you will need to be the first point of contact for all visitors to the centre and appropriately participate in all reception duties
- Maintain a safe and clean reception area by complying with procedures and regulations
- Be responsible for the daily maintenance of the centre’s fire box and centre checks
- Ensure all patients always experience the highest levels of service
- Work respectfully with all team members, ensuring that clear communication and effective working relations are maintained
- Be aware of the close working relationship with any partner hospital and comply with their local rules and policies
- Follow departmental protocols, policies and procedures and operate in full compliance with all relevant guidelines
- Undertake company designated mandatory training
- Occasionally work out of hours to ensure that breakdowns or crisises are resolved with minimum impact to service and treatments
- Adhere to company standards in respect of appearance, behaviour, and demeanour
- Carry out any other duties appropriate for a post of this nature
- Work flexibly to achieve Genesis Care business objectives
- Maintain security by following procedures and booking patients and visitors in and out of the centre
- Act as a trainer and mentor for new staff
- Utilising Datix to log comments/concerns and compliments
Experience and skills:
- Possess excellent verbal and written communication skills.
- Previous experience managing a busy reception area
- Experience in a customer focused environment
- Strong relationship building skills
- Experience within a diverse range of administrative roles
- Evidence of an empathetic and holistic approach to patient care
- Experience with resolving complaints satisfactorily
Qualifications and Knowledge:
- Experience of using MOSAIQ IT package an advantage
- Be proficient in all MS office packages including, but not limited to, Word, Excel & Outlook
- Previously worked within the healthcare sector preferred
