Skills & Experience:
Proven experience in an administrative or office support role, ideally within a similar setting (e.g., public sector, post room, or office environment).Strong verbal and written communication skills, with the ability to interact confidently with colleagues and external stakeholders.
Ability to manage multiple tasks efficiently and prioritize workloads in a fast-paced environment.
Competent in using Microsoft Office (Word, Excel, Outlook) and other office software to manage documents, data, and communication.
Desirable:
Prior experience in managing a post room, mail handling, or distribution would be advantageous.
What's involved with this role: As an Operational Support Assistant in the Admin & Post Room, your role will be to provide vital administrative support to ensure the smooth and efficient running of office operations. You will be responsible for managing incoming and outgoing mail, overseeing the post room functions, and contributing to the improvement of administrative systems.
You will work closely with colleagues to streamline processes, maintain accurate records, and ensure all tasks are completed in a timely and organized manner. Your ability to adapt to changing demands and work efficiently will help to meet the operational needs of the team and contribute to the overall effectiveness of the department.
Key responsibilities:
Assisting in various administrative tasks to ensure efficient office operations.Handling incoming and outgoing mail, ensuring timely distribution and dispatch.
Identifying and implementing improvements to existing systems, promoting electronic data interchange and filing to reduce paper usage.
Applying lean systems thinking to streamline administrative processes, eliminating unnecessary steps.
Adopting a flexible approach to work, with the ability to switch between different tasks as needed.
