An exciting opportunity has arisen for a Band 2 Receptionist / Administrator to join the Inclusion Thurrock Talking Therapies team, part of Midlands Partnership NHS Foundation Trust. This is a key front-facing role within a busy NHS service, providing a professional and welcoming first point of contact for service users.

The role is varied and includes reception duties, managing telephone and face-to-face enquiries, booking appointments, and providing administrative support to clinicians and the wider team.

You will play an important role in ensuring the smooth running of the service.

The successful candidate will be required to provide reception cover across multiple sites, including Corringham Integrated Medical & Wellbeing Centre (CIMWC), The Sorrells, Stanford-le-Hope SS17 7ES, and Inclusion Thurrock, 55–57 High Street, Grays, Essex RM17 6NB.

We are looking for a motivated, well-organised individual with strong IT and communication skills. You will need to engage with people in a calm, compassionate, and professional manner, particularly when supporting individuals who may be anxious or distressed.

A good understanding of confidentiality and attention to detail is essential.

You should be able to work effectively as part of a team and manage competing priorities in a fast-paced environment.

Main duties of the job

Inclusion Thurrock is an IAPT service providing psychological therapies within primary care to patients with mild to moderate mental health issues.

To undertake general administrative and reception support across all teams. Undertake any other duties considered reasonable and connected with the post.

Detailed job description and main responsibilities

  • Carry out administrative tasks, including sending and receiving emails from the Admin Team mailbox, ensuring confidentiality is maintained.
  • Respond promptly to all incoming telephone calls and emails to ensure urgent matters are dealt with promptly with messages recorded and relayed accurately.
  • Monitoring any voicemails received and respond/action these promptly. Including any appointment cancellations or rescheduling of appointments.
  • Dealing with enquiries to the service by patients and their family, health professionals.
  • Attention to detail is vital in this work at all stages of data entry, taking and recording messages and communications within the service.
  • Entering data accurately according to IAPTus programme requirements and service procedures. Extracting information on request to assist Locality Manager and Clinicians.
  • Responsible for providing high quality administrative support to the multi-disciplinary psychological therapies team including room bookings, responding to staff sickness alerts and batch distribution of patient correspondence.

Experience

Essential criteria
  • One year’s experience of reception work / general office administration to include dealing with face to face and telephone enquiries, routine filing systems, accurate copy typing and basic record keeping.
  • Data systems and data entry experience where attention to detail is understood to be vital.
  • Knowledge and experience of any major OS.

Qualifications

Essential criteria
  • RSA/OCR word processing/typing qualification stage II or able to demonstrate relevant experience
  • Good basic level of education and good command of English.

  • Ability to cope with busy office and varied workload where accuracy and attention to details is essential
