You will be joining our friendly, welcoming and supportive Community Mental Health Administration Team with work both on our clinic Reception and in the admin office.
Ideally you would hold an NVQ level 2 or equivalent qualification and/or experience, however this is not essential as full training is given. We support training and ambition with many of our Admin Assistants having been successful in achieving promotional posts within our Service or the wider Trust.Staff meet with the Admin Team Leader regularly for 1-to-1 supervision sessions and annual appraisals.
Main duties of the job
To be successful in this role you will be required be organised, professional and adaptable with a sound level of written and spoken English.
This Receptionist/Admin Assistant role includes:
- Strong communication and customer service skills
- Managing the flow of visitors to our busy Reception through the day
- Welcoming service users and their family or carers into the service on arrival
- Personal resilience to handle telephone calls, queries and message taking
- Using our clinical system RiO, inputting, creating letters etc
- Completing a wide range of admin tasks from an electronic workflow inbox
- Scanning, uploading and copying.
- Ability produce quality documents in a very busy environment
- Good time management and prioritising work
- Room bookings via our Micad booking system.

Qualifications
Essential criteria- NVQ Level 2 in Business Administration (or equivalent level of administrative experience).
- Previous admin or customer service experience.
Experience
Essential criteria- Relevant experience of working in an office environment
- Relevant experience of undertaking office procedures with minimal supervision.
- Previous experience of working within the NHS
- Experience of using RiO or a patient clinical system and dealing with the public
Skills
Essential criteria- Excellent typing skills, including audio-typing.
- Proficient in the use of computer packages, including Microsoft Office
- Ability to produce documents and reports to a high standard from handwritten and audio transcription.
- Ability to work on own initiative and ability to prioritise workload in order to meet conflicting demands and deadlines
- Understanding of the importance of confidentiality and maintaining confidentiality.
- Demonstrate an understanding of the importance of effective teamwork
- Experience of minute taking
