Key Responsibilities: Administrative Support: Prepare and type letters, reports, and other documents from dictation or typed notes. Handle patient referrals using electronic systems such as e-Referral Service (ERS). Manage incoming and outgoing correspondence, including emails, post and texts.
Maintain patient records, ensuring they are up-to-date and accurate, adhering to confidentiality policies. Communication: Act as the first point of contact for patients, GPs, and other healthcare professionals regarding administrative matters.
Handle telephone enquiries from patients and other healthcare providers professionally and efficiently. Communicate patient results and messages from GPs when appropriate. Liaise with hospitals, laboratories, and other healthcare organisations to coordinate patient care.
Referral and Reporting Management: Process and track patient referrals to hospitals and specialist services, ensuring they are completed in a timely manner. Ensure follow-up on referral appointments and results, maintaining communication with patients and external services.
Patient Record Management: Accurately input and update patient information in the GP clinical system (e.g., EMIS Web) Ensure patient files are kept in accordance with data protection laws (GDPR) and practice policies. Meeting Support: Attend and take minutes at practice meetings, when required.
Other Duties: Participate in audits, quality improvement initiatives, and other administrative duties as needed. Assist in maintaining a clean, safe, and organised working environment in the practice office.Skills and Qualifications: Proven experience as a Medical Secretary or similar administrative role, preferably in a healthcare setting.
Proficient in medical terminology, transcription, and the use of clinical software (e.g., EMIS). Strong organisational and multitasking skills, with the ability to prioritise workload effectively. Excellent verbal and written communication skills.

High level of accuracy and attention to detail. Strong understanding of patient confidentiality and GDPR. Ability to work independently and as part of a team. Professional demeanor and empathetic approach when dealing with patients.
