DUTIES AND RESPONSIBILITIES The post holder will:
  • Proactively support the Chief Executive Officer in delivering all of their responsibilities across their portfolio of work at the Trust Act as a first point of contact for the Executive team, key stakeholders such as NHS England (both Nationally and Regionally), other Health partners and Local Government, patient/service users, MPs, and Councillors Prioritise incoming issues, correspondence and concerns addressed to the Chair, which will include those of a sensitive and highly confidential nature, determining the appropriate course of action, referral or response Lead on specific pieces of work, projects and workstreams Be responsible for ensuring the Chief Executive Officer is prepared for upcoming meetings and events (for example providing briefing notes, leading on the agenda setting process where needed) Anticipate and identify the Chief Executive Officer's needs and concerns and ensure that appropriate action is taken without requiring their instruction Use a high level of independent judgement to prepare or commission briefings for the Chief Executive Officer on specific topics, including researching/ benchmarking and analysis of information as required Compile information from multiple sources

  • for analysis and presentation Attend some meetings with the Chief Executive Officer to capture actions and be responsible for subsequent tracking and delivery of such actions Work closely with the Chief Executive Officer's PA to pro-actively manage the Chief Executive Officer's diary to ensure time is effectively prioritised.

Keeping them informed and updated on relevant issues, commitments, and responsibilities, prioritising and following up as appropriate Exercise sound judgement, being aware of role boundaries to ensure that key business items and decisions are identified, progressed and followed up accordingly, escalating where needed Provide support to the Trust in any way agreed with the Chief Executive Officer Key Working Relationships Establish and maintain excellent relationships with a broad range of internal and external stakeholders.

This will include the Executive teams in various organisations across SEL, the SEL ICB, Local Authorities, patients/ service users, MPs.

  • to a wide variety of internal and external stakeholders, when required Maintain good relationships with key stakeholders to ensure timely and appropriate communication and correspondence Financial and Physical Resources Monitor, validate and authorise invoices using the SBS system for both the Chief Executive Officer and the Deputy Chief Executive Officer Deliver against organisational objectives, achieving quality outcomes, prioritising own workload and working to tight deadlines Continually strive for delivering value for money and greater efficiency Contribute to the financial delivery of the NHS ensuring all business management functions are cost-effective and delivered on time, contributing to business planning process where applicable Contribute to commissioning of goods and services, as required Staff Management If asked, the post holder will be expected to: Line manage allocated staff Continually communicate with staff, helping to clarify goals and activities and the links between these and the wider Trust strategy Recognise, respect, and reward the contributions and achievements of others, valuing difference Act as a team player, investing time to generate a common focus and genuine team spirit Readily share resources to support higher priority work, showing pragmatism and support for the shared goals of the organisation Deal with conflict in a prompt, calm and constructive manner Encourage collaborative team working within own team and across Trust Identify and address team or individual capacity requirements and gaps to delivery to current and future work Identify and develop all talented team members to support succession planning, devoting time to coach, mentor, and develop others Continually seek and act on feedback to evaluate and improve their own teams performance Actively promote diversity and equality of opportunity inside and outside of the organisation Role model the values and behaviours of the organisation Strategy/ Policy and Service Development Undertake regular reviews of systems and processes relating to the Chief Executive Officer to ensure they are fit for purpose, amending where required Draft policies and procedures for own role and wider corporate teams as required, which could impact the wider Trust Other All members of the Trust support team will work on a flexible basis.
This may mean that, although the main elements of the job are included within this job description, you are asked to cover other areas of the Teams responsibilities.
