Office Administrator

We are looking for an Office Administrator with at least 12 months office experience to support our Office Manager in maintaining an organised but creative work environment that supports all departments within the business. The ideal candidate will enjoy processes, be highly organised, and have a confident and out going personality to take on all tasks as required.

This is an ideal opportunity for someone who enjoys administration, who has a process driven mindset, and is confident dealing with suppliers and internal stakeholders, and would be an ideal role for someone looking for the next step in their career as an Office Administrator

ROLE AND RESPONSIBILITIES :

  • Planning itineraries for business travel, booking of travel, accommodation, transport, restaurants, parking, arranging foreign currency, checking in for flights, issuing staff travel packs etc.
  • Exhibition admin - registering exhibitors/creation of badges, completing health & safety forms, retrieving freight quotes and completing freight paperwork, applying for music licenses, updating of costings sheet
  • Packing and organisation of samples etc. for exhibitions and business trips
  • Stockroom stock movements reporting & replenishment
  • Sales platform profiles - updating of sales platforms (adding products/images/copy etc.
  • Office purchases of stationary, kitchen supplies etc.
  • Charity stock handler
  • keeping on top of the damaged/near to expiry products at the warehouse & stock room & notifying the Head of Charity monthly
  • updating & logging of donations.
  • CSR events - planning and set up of any charity or wellbeing events in the office.
  • Questaversaires- arranging milestone gifts for work anniversaries.
  • Office collections - organising collections from the team and buying gifts for big birthdays and important life events
  • Maintaining a tidy office - ensuring the office and meeting rooms are clutter free and presentable
  • Assist General Manger with any building maintenance queries (liaising with the landlord to resolve)
  • Support office junior with sample requests and incoming parcels.
  • Switch board team member - answering and diversion of calls.
  • Cover for office junior role when on holiday/sick.
SKILLS REQUIRED FOR THE ROLE
  • 1 years experience minimum of working in an administrative/office support role
  • Confident with IT systems, particularly EXCEL and Word
  • Confident communication skills both in person and over the telephone
  • Happy to take on additional tasks as required
