Medical Secretary, Job Share to work 18.75 hours to include Thursday and Friday, based at The Railings, Rugby.

An exciting opportunity has arisen for a Medical Secretary based at The Railings, Rugby providing support to Medical Consultants and their clinical teams.

This post is a job share and the successful candidate will need to be able to work 18.75 hours, ideally covering Thursday and Friday full days along with 3.75 hours on an agreed 3rd day.

Main duties of the job

You will play an important role providing efficient, comprehensive and complex medical secretary service to Consultants, junior medical staff and their teams, acting as a first point of contact for service users, staff and stakeholders, exercising judgement and resolving problems.
You will work within an integrated and skill mixed admin team and will be expected to show initiative and have the ability to delegate tasks appropriately to the Team Secretaries and Admin Support colleagues in order to effectively and efficiently support clinical service delivery.

Previous Medical Secretarial experience is essential and experience of line managing a small team is desirable.

Detailed job description and main responsibilities

You must demonstrate a mature attitude and be able to show initiative with the ability to build effective working relationships, be approachable and accessible, with a flexible work ethic. We are looking for confident individuals, with excellent communication and organisational skills who have a positive approach to change and supportive of service improvements.

You will help support the standardisation of admin services to improve the efficiency and effectiveness of the admin support received by clinical services

This is an excellent opportunity for a self-motivated and enthusiastic individual who wishes to provide complex admin support to Medical Consultants and their clinical teams.

Qualifications

Essential criteria
  • Good General Education (eg. GCSE English and Maths A-C)
  • QCF Business Administration Level 3 or equivalent qualification/ experience/ willing to work towards completion of this
  • QCF Customer Service Level 3 or equivalent qualification/ experience/ willing to work towards completion of this
  • QCF Team Leading Level 2 / First Line Management Level 3 or equivalent qualification/ experience/ willing to work towards completion of this

Knowledge and Skills

Essential criteria
  • Articulate with excellent communication / customer care skills both written and verbal demonstrating sympathy and compassion
  • Advanced keyboard / IT skills
  • Ability to manage and prioritise own and other’s workload and use own initiative
  • Ability to work autonomously
  • Excellent organisation skills and ability to multitask
  • Excellent time management skills ability to prioritise conflicting demands in order to meet deadlines
  • Ability to take and transcribe notes of meetings in a timely manner

  • Understand confidentiality and apply the principles in every day working practice

Experience

Essential criteria
  • Competent working with a range of Microsoft Office packages (eg. Word, Excel, Outlook, PowerPoint and Access)
  • Experience of working in a busy office / customer care environment
  • Experience of working in Healthcare
  • Experience of working in a supervisory role and delegating work
  • Medical secretarial experience
