Key responsibilities Open, sort and record post and act upon any queries. Monitor the Trusts ICE system and accept or reject appropriate assessment and discharge notifications. Enter notifications onto the Councils Care Director system for allocation to Social Workers.
Answer the telephone, giving accurate and timely messages/information to staff, service users and relatives, entering all messages onto care Director. Attend a variety of meetings (safeguarding adult strategy and case conferences etc.); take detailed notes and subsequent preparation of accurate minutes.
Send to chair of meeting for approval and once approved, distribute to attendees. Create new service provisions for adult residential care (long-term, respite and nursing) on Care Director as requested. Create new service provisions and service deliveries (home care) for service users as requested.
Process outcomes and allocations, entering the details on the appropriate spreadsheet. Monitor Care Director for Adult Safeguarding, then print, record and pass to managers for action. Monitor the teams generic mail in-box for Safeguarding and Contracts, actioning or re-directing as required.
Assist with the induction and training of new staff (including temporary and agency workers) Prepare, copy and circulate papers and minutes as requested by staff and managers. Comply with the Data Protection Act and the Council and Trusts Confidentiality policies at all times.
Ensure cabinets, desk and rooms are locked at the end of the working day.
