Job Title: Minute Taker and Personal Assistant
Reporting To: Kate Crombie, Office Manager
Engagement of Role: 3 days a week - from 9.15am to 5.00pm, based in our office in Stamford
Salary: Up to up to £24,350 (full time equivalent)

Summary of Role

The purpose of this role is to provide professional, comprehensive and efficient office support by means of a vast range of secretarial services and otherwise, specifically tailored to meet the needs of individual businesses.

The successful applicant should be able to perform all necessary duties required to ensure the smooth running of any office, including full secretarial and administrative support so that all tasks are completed precisely and delivered at a high quality, in a timely manner.
A fast and accurate typing speed is also essential for this particular role.

Key Responsibilities

Attending meetings and minute taking up to Board level, either in person or virtually. Note: some travel will be required and therefore you will need to have your own vehicle and a full driving licence.

Provide comprehensive administrative and general office management duties of a responsible nature for multiple clients, at any given time.

This position operates with a high degree of independence in performing the duties of the position while maintaining open communication with the principal of the business as well as the clients.

Ensure assigned tasks are completed within a specified or reasonable timeframe and with a minimum number of errors or omissions.

Preparation and completion of accurate documents using Microsoft Office applications including Word, PowerPoint and Excel.

Excellent organisational and time management skills are essential, as is the ability to handle several tasks/projects/clients simultaneously.

Acting as a virtual Receptionist for our many telephone call answering clients, taking messages and dealing with queries.

Using Trello as both part of the team and for clients, to ensure tasks are logged, updated and followed up.

The ability to understand and organise complex diary management for C-Suite executives and independent business people.

Transcriptions including dictation.

Core Competencies

Extensive experience of minute taking and subsequently producing accurate and concise minutes, in a timely fashion, including board meetings and various other styles of meeting. NOTE: Flexibility with regards to your days of working is appreciated, particularly if meetings you are required to minute fall on one of your non-working days.

A very high standard of customer service and communication skills both written and verbal, being clear, concise and easy to comprehend at all times.

Excellent organisational skills demonstrated by implementing the key principles of time management, task allocation and priority assignment in order to meet deadlines and ensure client satisfaction.

First-rate command of the English language including spelling and grammar

Fast and accurate touch typing skills.

A polite and confident telephone manner.

Outstanding attention to detail.

A natural sense to follow up and see tasks through to completion.

Common sense and a practical, hands-on approach are key attributes of this role.

Proficient and confident approach to working with MS Office Word, Excel and PowerPoint.

Minimum of one year’s progressive experience as a secretary/personal assistant or in a relevant customer service environment.

Positive, professional and efficient can-do attitude.

The ability to remain calm under pressure and unflustered!

Previous experience working at senior management level would be advantageous.

We are only able to accept applications from those with a minimum of one year experience as a secretary, PA or administration assistant, plus a minimum of one year experience minute taking.
